About The Position

The Scheduling Coordinator is responsible for managing exam scheduling, coordinating communication between physicians, clients, and examinees, and ensuring all supporting documentation and logistics are completed accurately and efficiently. This role requires strong organization, communication, and multitasking skills in a fast‑paced medical or administrative environment.

Requirements

  • High school diploma or equivalent required.
  • Minimum of one year of related experience (medical scheduling, healthcare call center, administrative healthcare support, etc.).

Nice To Haves

  • Prior experience in a medical office setting preferred.

Responsibilities

  • Schedule examinations using the internal scheduling database.
  • Confirm exam dates and times with physicians’ offices and ensure all parties are informed of changes.
  • Communicate with clients regarding scheduling updates, physician CVs, no‑shows, cancellations, and receipt of medical records or imaging.
  • Verify and document the receipt of records for record‑review referrals.
  • Prepare and send daily exam notification letters.
  • Serve as a main point of contact for physicians, clients, and examinees.
  • Submit invoices or billing issues to the accounting team when applicable.
  • Ensure pre‑payment for services is collected when required.
  • Coordinate ancillary services such as interpretation, chaperones, transportation, or exam site rentals as needed.
  • Respond promptly to requests for report statuses or additional information.
  • Provide support to other office locations when required.
  • Arrange lodging and transportation for out‑of‑town examinees.
  • Process incoming and outgoing mail, packages, and deliveries.
