About The Position

Requirements

  • 1 year of customer service experience (required).
  • 1 year of computer skills (required).
  • Knowledge of clinic policies and procedures.
  • Knowledge of medical terminology and insurance practices.
  • Skill in using office equipment and handling paperwork/filing adequately.
  • Skill in handling incoming phone calls and triaging appropriately.
  • Ability to work effectively as a team member with physicians and other staff.
  • Ability to organize and prioritize tasks effectively.

Nice To Haves

  • 1 year of medical terminology experience (preferred).
  • 1 year of experience with multi-line phone systems (preferred).
  • 1 year of medical scheduling experience (preferred).

Responsibilities

  • Schedule patients for office visits and procedures according to insurance guidelines.
  • E-mail or mail preparation instructions to patients for procedures and ensure understanding.
  • Follow up on EHR recall tasks, including outgoing patient calls and requests.
  • Accurately document outgoing and incoming call data in NextGen.
  • Perform patient recall processes as per protocol.
  • Print and fax weekly schedules to hospitals and follow up on changes or add-ons.
  • Call insurance companies to check pre-authorization, claims, and benefits for procedures requiring referrals.
  • Answer questions regarding preparation for procedures when patients call in.
  • Adjust schedules nightly to fill vacancies and provide updates to the Endoscopy Center.
  • Reschedule appointments as necessary when doctors request time off.
  • Enter recall lists generated for timely letter dispatch.
  • Check the EMR throughout the day for tasks from medical records, medical assistants, and physicians, completing them promptly.
  • Answer incoming telephone calls and assist with recall of procedures.
  • Respond to referral requests and schedule patients accordingly.
  • E-fax or call in appropriate preparation prescriptions for patients prior to procedures.
