Requirements

  • Advanced typing, computer skills and possess the ability to multitask across multiple platforms while keeping the integrity of the data.
  • Excel experience to include basic data presentation and pivot tables.
  • Ability to remain productive when faced with high workloads and deadlines.
  • Able to follow detailed directions and respectfully request clarification when needed.
  • Identifying needs and opportunities and presenting them to the supervisor with recommended solutions.
  • Working independently with minimal supervision.
  • Preparing and analyzing appropriate reports and other business correspondence.
  • Maintaining a positive outlook at all times.
  • Communicating in a clear, precise, and hospitable manner while fostering healthy two-way communication.
  • Addressing customer concerns in a courteous and timely manner.
  • Strong organizational and time management skills.
  • Use of relevant computer systems and a desire to learn and grow with system changes.
  • Minimum 6 months of medical records experience in a clinic, hospital, or home health setting.
  • Must possess a high school diploma or equivalent.
  • Must have previous experience working with an EMR system.

Responsibilities

  • Process unsigned orders and 485s.
  • Index signed orders and 485s, including verifying the physician’s signature and date stamp.
  • Ensure all documents are scanned, attached, and indexed within 24 hours of receipt.
  • Initiate the escalation process for all orders aging more than 14 days.
  • Manage orders through the physician portal.
  • Manage incoming faxes and re-route them to the appropriate teams as necessary.
  • Maintain accurate and up-to-date physician profile data.
  • Verify physicians’ PECOS enrollment prior to adding them into the electronic medical record.
  • Utilize appropriate systems to contact physician offices for follow-up.
  • Communicate professionally with all departments to resolve outstanding orders.
  • Provide weekly reports for review.
  • Process medical records requests promptly and in accordance with Pinnacle Home Care procedures.
  • Meet productivity goals as assigned by management.
  • Responds to all inquiries with a resolution to concerns and or discrepancies in a timely manner.
  • Assists in the training of all new medical records team members.
  • Comply with HIPAA regulations on all accounts.
  • Follows Pinnacle Home Cares' Attendance Policy.
  • Other duties as assigned by management.
