This contract will provide occupational medicine health services and electronic health records management for sworn staff from both the City of Phoenix (City) Fire and Police Departments as well as public safety personnel assigned to other jurisdictions throughout the region who have contracted with Phoenix Fire Department Health and Wellness Center (PFDHWC) for these services. Location: 50 S. 12th St., Phoenix, AZ 85034. PFDHWC Clinic hours: 7:30 a.m. to 12:00 p.m. and 12:30 p.m. to 4:00 p.m. Monday through Friday, with a 30-minute lunch period.

Requirements

  • Five years of experience working in a medical office or working performing patient intake for a medical facility.
  • Must be able to use various personal computer software programs including, but not limited to, Outlook, electronic medical records system, and Microsoft Suite.
  • Must be detail oriented and able to multitask with excellent customer skills, verbal and written.
  • Capable of working under stressful conditions and meeting deadlines.
  • Ability to prioritize and handle a variety of tasks simultaneously, with frequent interruptions.

Nice To Haves

  • Previous experience working in an Occupational Health Clinic treating first responders.

Responsibilities

  • Acts as receptionist to include greeting and directing visitors/patients, answering incoming calls, which include screening calls, taking messages and providing information to patients, providers, as well as external customers.
  • Provides clerical support to include, composing correspondence, making copies, sending faxes, answering incoming calls, etc.
  • Performs check-in processes, including but not limited to, performing data entry activities, providing patients with appropriate information and documentation needed for appointments.
  • Collects patient Health Review Form, verifies demographics and uploads into electronic medical record.
  • Prepares medical charts (electronic and paper) for upcoming physical exam.
  • Responsible for fulfilling all medical records requests following Health Insurance Portability and Accountability Act of 1996 (HIPAA) guidelines.
  • Creates new patient electronic records and maintains all medical records, including organization of the chart (paper and electronic), maintenance, and condition.
  • Files and/or scans all patient documents into corresponding medical charts and/or electronic records.
  • Routinely checks fax machine and distributes accordingly.
  • Pull charts and prepare paper charts as needed for upcoming appointments.
  • Ensures electronic records from 2007 to current are printed as needed from various platforms if records have not been uploaded into current Electronic Medical Record.
  • Ensure required Worker’s Compensation forms for claim filing are completed at check-in.
