About the position

As a Medical Records Specialist at Nueva Vista Family Services, you will play a crucial role in ensuring the accuracy and integrity of client medical records. Your primary responsibilities will include reviewing and reconciling medical records, tracking corrections made by therapists, and communicating necessary updates to the Program Director. You will also be responsible for reconciling billing records with progress notes, maintaining all medical records and filing systems, and providing record copies to staff upon request. Additionally, you will process the release of medical information pertaining to clients, ensuring compliance with privacy regulations. In this position, you will handle Medi-Cal billing, coding, and reporting, which includes auditing and submitting claims, determining Medi-Cal eligibility, and performing daily data entry. You will also be tasked with reporting, tracking, and reconciling accounts receivable. Your role will involve assisting the doctor with scheduling appointments and making follow-up reminder calls to families. Furthermore, you will provide clerical support to the front office as needed and work collaboratively with the program team to ensure seamless operations. This position requires a bilingual individual fluent in Spanish, as effective communication with clients and families is essential. You will need to have at least two years of experience in customer service, preferably in a mental healthcare patient administration environment. Attention to detail, excellent phone etiquette, and the ability to maintain confidentiality are critical skills for success in this role. A working knowledge of medical terminology used in mental health programs is also required, along with intermediate proficiency in Microsoft Office applications. A valid California driver's license and the ability to pass a criminal/background clearance are necessary to fulfill the essential functions of this position.

Responsibilities

  • Review and reconcile client medical records for accuracy; track corrections to be made by therapists and communicate with the Program Director.
  • Provide reconciliation of billing records with progress notes.
  • Maintain all medical records and filing systems; provide record copies to staff upon request, and process release of medical information pertaining to clients.
  • Provide Medi-Cal billing, coding, and reporting for all aspects of the clients' medical records.
  • Audit and submit claims, determine Medi-Cal eligibility, perform daily data entry, and report, track, and reconcile accounts receivable.
  • Assist the doctor with scheduling appointments and follow-up reminder calls to families.
  • Assist with front office clerical support as needed and work collaboratively with the program team.

Requirements

  • High School/GED diploma required.
  • Bilingual Spanish (fluent read, speak, write) is required for this position.
  • At least two years of experience in customer service in a fast-paced environment, preferably in a mental healthcare patient administration environment.
  • Excellent phone etiquette, attention to detail, ability to multi-task and maintain confidentiality required.
  • Working knowledge of medical terminology used in mental health programs required, as well as terms, concepts, and principles of privacy and confidentiality.
  • Intermediate knowledge of Microsoft Office to include Outlook, Word, Excel applications.
  • A valid California driver's license in good standing, proof of insurance, and personal vehicle are required to fulfill the essential functions of this position.
  • Must be able to pass criminal/background clearance.
