A Day in the Life of a Medical Records Specialist / Scheduler In this dual‑role position, you help keep our office running smoothly by supporting both medical records and scheduling functions. Your reliability, communication skills, and attention to detail help ensure smooth operations and high‑quality patient care.

Requirements

  • LPN license preferred
  • Associate degree in a related health or financial field
  • At least 2 years of experience in medical records or healthcare billing
  • Proficiency in Word, Excel, and email
  • Familiarity with office equipment such as fax machines and copiers
  • Ability to communicate patient‑related information to appropriate staff
  • Strong customer service skills
  • We're looking for someone who communicates clearly, manages time well, solves problems effectively, and maintains a friendly, professional demeanor.
  • The ability to handle confidential information with discretion is essential.

Responsibilities

  • Preparing and auditing billing and payment information
  • Processing physician orders received via fax or mail
  • Ensuring all records remain confidential and compliant with state and federal guidelines
  • Auditing MRC and MCO files for accuracy and filing
  • Reviewing and organizing patient charts to ensure all information is current
  • Maintaining logs of physician orders for billing coordination
  • Participating in weekly case conferences as needed
  • Assisting with general office duties such as answering phones and distributing mail
  • Serving as a backup for entering referrals
  • Coordinating patient visit schedules with managers and staff
  • Prioritizing patient needs when assigning visits
  • Managing on‑call rotation responsibilities and tracking according to policy
  • Ensuring patients are not seen by multiple clinicians from the same discipline when possible
  • Notifying management promptly if a visit cannot be completed by the RN case manager
