About The Position

The Medical Records Coordinator is responsible for maintaining, organizing, and safeguarding patient health information. This role ensures accurate documentation, timely retrieval and timely release of imaging records, and compliance with healthcare regulations such as HIPAA. The coordinator should maintain professionalism at all times.

Requirements

  • Must be able to type accurately with precise data entry skills.
  • Proficiency in software and customer service tools (e.g., Salesforce).
  • High school diploma or equivalent.
  • Communicates, cooperates, and consistently functions professionally and harmoniously with all levels of supervision, co-workers, patients, visitors, and vendors.
  • Demonstrates initiative, personal awareness, professionalism and integrity, and exercise confidentiality in all areas of performance.
  • Follows all local, state and federal laws concerning employment to include but not limited to: I-9, Harassment, EEOC, Civil rights and ADA.
  • Follows OSHA regulations, RadNet and site protocols, policies and procedures.
  • Follows HIPAA, FDA, compliance, privacy, safety and confidentiality standards at all times.
  • Practices universal safety precautions.
  • Promotes good public relations on the phone and in person.
  • Adapts and is willing to learn new tasks, methods, and systems.
  • Reports to work regularly as scheduled; consistently punctual with respect to working hours, meal and rest breaks, and maintains satisfactory personal attendance in accordance with RadNet guidelines.
  • Consistently adheres to the time management policies and procedures.
  • Completes job responsibilities in a quality and timely manner.

Nice To Haves

  • Health care registration, physician billing and/or medical reception/medical office experience preferred.
  • Experience working with a computerized scheduling system preferred.

Responsibilities

  • Provide exceptional personalized, and professional service.
  • Process medical record requests received through multiple channels such as voicemail, fax, email and phone call via Medical Record Request worklist in RIS.
  • Retrieve, review, and prepare the appropriate patient information from eRAD.
  • Initiate calls as needed for clarification or verification, and complete requests according to policy.
  • Verify patient identity and requestor authorization prior to releasing information, applying minimum necessary standards and privacy policies.
  • Ability to work within multiple systems simultaneously.
  • Log, track, and document disclosures of information per organizational policy and applicable law.
  • Maintain confidentiality and security of protected health information (PHI) at all times.
  • Report any breach related incidents via company policy and inform leadership immediately.
  • Perform other related duties as assigned by Operations leadership.
