The Medical Records Assistant plays a crucial role in the organization and management of medical records within the facility. This position requires adherence to established policies and procedures while receiving and following work schedules and instructions from the supervisor. The assistant will be responsible for assisting in the planning and direction of the medical records department, ensuring that all records are maintained accurately and efficiently. This includes filing, retrieving, and delivering resident records both manually and electronically, as well as maintaining minutes of meetings and developing a good rapport with inter-department personnel to facilitate proper record maintenance. In addition to these responsibilities, the Medical Records Assistant will assist the Medical Records/Health Information Consultant as needed, ensuring that all incidents and accidents are recorded appropriately. The role involves filing various types of information, such as nurses' notes, resident assessments, progress notes, laboratory reports, and correspondence into resident charts. The assistant will also be tasked with collecting, assembling, checking, and filing resident charts, as well as assisting the MDS Coordinator in scheduling assessments according to current facility and OBRA guidelines. The position requires the assistant to ensure that incomplete records are returned to the appropriate departments for correction and to develop procedures that guarantee resident records are properly completed, assembled, coded, signed, indexed, and filed. The assistant will maintain a record of authorized information released from charts and abstract information from records as required for insurance companies and government agencies, all while adhering to current Privacy Rules. Additionally, the Medical Records Assistant will index medical records as directed, maintain various registries, transcribe reports for physicians, and handle telephone inquiries regarding medical records functions. This role is essential for ensuring that medical records are managed in compliance with established policies and procedures, contributing to the overall efficiency of the healthcare facility.
