About The Position

The Medical Receptionist serves as the primary point of contact for clients, ensuring a welcoming and professional atmosphere. This role encompasses managing front desk operations, handling phone calls, scheduling appointments, facilitating client check-in and check-out processes, and supporting the overall efficiency and client experience within the Massage Clinic. Additionally, the position involves invoice processing and filing, completing deposits and billing reports, and maintaining accurate client accounts.

Requirements

  • High School diploma or GED.
  • At least one year of relevant experience requiring accuracy and attention to detail.
  • Typing speed of at least 45wpm with no errors.
  • Ability to pass criminal background check and pre-employment drug screening.
  • Washington State Driver’s License and ability to be approved by the Tribal insurance to drive Tribal vehicles.
  • Must be organized, personable and capable of multitasking while maintaining a calm and friendly demeanor.
  • Must have the ability to operate general office equipment.
  • Must have working knowledge of accounting processes and Electronic Health Record.
  • Must know the importance of self-care.
  • Good command of computerized word processing programs.

Responsibilities

  • Maintain professional behavior and appearance at all times.
  • Welcome all clients into clinic.
  • Schedules clients in concert with client preferences and clinic policy.
  • Check in clients, verify demographic information is on file and up to date eg; Health History, Tribal ID, Marriage Certificate, Birth Certificate, ID and uploads all documents into EHR.
  • Inventories, stocks and organizes lobby.
  • Helps to maintain a clean environment in the massage clinic.
  • Adhere to all Stillaguamish Tribe of Indians policy and procedures.
  • Follow HIPAA standards and maintain strict confidentiality of client information.
  • Answers and routes incoming calls on the clinics phone line.
  • Takes accurate and complete messages as needed.
  • Coverage and support to the reception area.
  • Collects payments as appropriate.
  • Completes and maintains daily account of the cash till and reports any variation to supervisor immediately.
  • Prepares deposit.
  • Uploads and tracks invoices.
  • Processes linens used in clinic.
  • Completes end of month reporting as directed by supervisor.
  • Performs closing duties for the clinic: closing front office for the evening, check towel cabbies and stone warmers are off, locking doors and windows, setting the alarm.
  • All other duties as assigned by supervisor.
