About The Position

The Medical Receptionist Manager oversees the Medical Receptionist Team while actively performing front desk and operator responsibilities. This working manager role ensures efficient front and back-office operations by directly supporting daily functions, including patient check-in/check-out, phone management, scheduling, and patient communication. This position promotes high-quality patient service and ensures compliance with clinic policies and procedures.

Requirements

  • Minimum of two years of healthcare supervisory experience required, with at least two years of experience as a Medical Receptionist or in a related role strongly preferred.
  • Proficiency with computers and electronic medical records systems required.
  • Must demonstrate a professional, courteous, and patient demeanor
  • Demonstrated ability to function as a working manager, balancing leadership responsibilities with direct patient-facing duties.
  • Ability to handle multiple priorities and de-escalate tense situations.
  • Detail-oriented with strong accuracy and confidentiality standards.
  • Must be able to pass a criminal background check
  • Must complete Tuberculosis screening.

Responsibilities

  • Actively perform medical receptionist duties alongside Management responsibilities, including answering multi-line phones, scheduling appointments, patient check-in/check-out, and direct patient communication.
  • Manage high-volume inbound and outbound patient calls, including appointment coordination, patient inquiries, follow-up communication, and voice message management.
  • Serve as the primary contact for issues related to Medical Receptionist operations; collaborate with other department leaders to resolve problems.
  • Supervise the Medical Receptionist Team, including scheduling, approving time off, coaching, mentoring, and performance evaluations.
  • Develop, implement, and update departmental policies, procedures, and standards.
  • Assist with recruiting, hiring, and training new team members.
  • Communicate clinic policies, procedures, and expectations to staff in coordination with the Leadership Team.
  • Provide direct operational and leadership support throughout the clinic, regularly stepping into front desk responsibilities during high-volume periods and staffing gaps.
  • Evaluate, recommend and manage contracts and maintenance for office equipment including shared copier, phone system and postage machine
  • Manage medical records, releases, and incoming requests to ensure accuracy and confidentiality.
  • Oversee referral processing, fax management, interpreting services, phone systems, and patient portal functionality.
  • Monitor departmental workflow and identify opportunities to improve efficiency and service.
  • Address patient and employee concerns promptly and escalate issues as needed.
  • Maintain regular communication with physicians and conduct monthly team meetings.
  • Promote a safe, respectful, and patient-centered environment.
  • Serve on the SCENT Leadership Team and participate in monthly meetings.
  • Collaborate with all departments to maintain smooth communication and efficient workflows.
  • Manage projects and other duties as requested by the Executive Team.
