About The Position

The Medical Receptionist provides front-line customer service in a clinical setting and plays a key role in ensuring positive financial outcomes for all patient services. Responsibilities include patient registration, insurance verification, appointment scheduling, referral processing, and point-of-service collections. This position is also responsible for handling phone coverage, data entry, and managing protected health information (PHI) in compliance with regulations. Reports to Physician Practice Administrator. Non-Exempt position.

Requirements

  • High school diploma or equivalent required.
  • 1 year of experience in an administrative support role, preferably in a healthcare setting.
  • Experience with billing and insurance preferred.
  • Strong organizational and time-management skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail and problem-solving abilities.
  • Experience with medical office software and electronic health records (EHR) is a plus.

Responsibilities

  • Register all patients upon arrival; manage and maintain sign-in sheets.
  • Ensure all registration forms, including new patient paperwork, are complete and properly signed.
  • Confirm patient understanding of the Notice of Privacy Practices before obtaining signatures.
  • Scan and accurately link insurance cards to patient records in the EHR system.
  • Collect and update accurate demographic, insurance, financial, and clinical information.
  • Verify insurance benefits prior to patient visits; ensure referral authorizations are obtained.
  • Enter verification notes promptly into the system.
  • Determine and communicate patient out-of-pocket liabilities, including co-pays and deductibles.
  • Post payments accurately to patient accounts and process credit card transactions.
  • Refer patients to Financial Counselors for further explanation of coverage, payment plans, or denied authorizations.
  • Obtain promissory notes when necessary.
  • Schedule appointments following provider templates; enter relevant notes into the system.
  • Assist new patients with completing registration; ensure appropriate guardians accompany minors.
  • Input approved individuals for PHI release into the EHR.
  • Promote and support patient use of the portal and satisfaction surveys.
  • Answer phone calls in a professional and courteous manner.
  • Perform cashiering duties including opening, balancing, and closing the cash drawer.
  • Scan and submit daily work batches to appropriate locations.
  • Maintain cleanliness and organization of the waiting area throughout the day.
  • Report any equipment maintenance or repair needs promptly.
