About The Position

The Program Assistant is a full-time position within the Philadelphia Department of Public Health (PDPH), Division of Substance Use Prevention and Harm Reduction (SUPHR). This position is responsible for supporting projects and initiatives across SUPHR’s Medical Program. The mission of SUPHR’s Medical Program is to improve the care and wellbeing of people who use drugs (PWUD) in Philadelphia. The program aims to disseminate clinical guidance and support training in substance use disorder, harm reduction, and wound care. Program activities include convening healthcare professionals and clinicians across Philadelphia to identify gaps in care, improve best practices, and identify emerging healthcare needs for PWUD. The Program also supports training and education in caring for people who use drugs and distributes wound care kits to local Philadelphia community-based organizations. Lastly, the Program collaborates across city, state, and community partners to promote the implementation of evidence-based harm reduction clinical practices when engaging PWUD.

Requirements

  • Bachelor’s degree in public health, social work, public policy, or other relevant field.
  • At least one year of professional experience preferred (may include internships).
  • Strong organizational, problem-solving, and time management skills.
  • Project management skills, with attention to detail and the ability to prioritize and handle multiple tasks.
  • Excellent interpersonal skills and ability to build relationships and collaborate effectively with stakeholders from diverse backgrounds.
  • Strong written and verbal communication skills.
  • Ability to gather, interpret, and synthesize complex information, regulations, and policy trends preferred.
  • Demonstrated ability to work independently and as part of a team.
  • Proactive and self-motivated with a high level of initiative.
  • Knowledge and familiarity with the principles of harm reduction.
  • Skilled in Microsoft Office suite.
  • Experience with RedCAP or other survey software preferred.

Responsibilities

  • Maintain relationships with diverse stakeholders, including healthcare providers, community members, community-based organizations, city and state agency staff, and implementation teams.
  • Coordinate meeting logistics and scheduling, contribute to the development of meeting agendas, document meeting minutes and action items, and communicate with attendees.
  • Maintain records and use organizational tools to track program activities.
  • Assist in the evaluation of projects and initiatives via surveys and other methods.
  • Support supply purchasing, inventory management, and communication with vendors.
  • Support supply distribution, communication with recipients, and collection and management of distribution reports.
  • Assist in the preparation of program reports, summaries, and presentations to City leadership, funders, and other stakeholders.
  • Contribute to the development of provider- and community-facing tools and resources in collaboration with Communications and other SUPHR programs.
  • Support the monitoring and evaluation of programming administered by sub-recipient and recipient organizations.
  • Perform basic research on drug trends, clinical and policy topics, and current events related to the health and wellbeing of PWUD. Compile summaries for Medical team and other SUPHR staff.
  • Contribute to grant reporting.
  • Other duties as assigned.
