About The Position

The position involves facilitating access to care by scheduling patients at all Nemours sites of service. The role requires maximizing template utilization, managing the wait list and referral work queue to ensure it meets established metrics, and overseeing divisional templates to ensure patient access, provider effectiveness, and efficient clinical flow. Additionally, the position provides daily administrative support to assigned members of the clinical team, including the Division Chief, and assists in coordinating and supporting various projects and initiatives that further the clinical, educational, and research missions of the Department of Pediatrics and its Divisions.

Requirements

  • High School Diploma required.
  • Associates or Bachelor's degree preferred but equivalent years' experience and enrollment in a degreed program will be considered.
  • 1-3 years of job-related experience required.

Responsibilities

  • Provide daily oversight of divisional clinical schedules and EPIC templates.
  • Develop, build, modify, and maintain EPIC templates for assigned providers and specialty programs.
  • View and manage provider schedules, including setting single day edits, unavailable times, hold times, and clinic cancellations.
  • Assess template effectiveness using EPIC and Qlik reporting tools.
  • Handle telephone calls to/from internal and external customers, triaging urgent/non-urgent calls appropriately.
  • Provide administrative support to divisional leaders and clinical providers.
  • Coordinate meetings with internal and external participants.
  • Ensure alignment between Outlook and Epic schedules.
  • Complete hospital reappointment applications and maintain CME activity records.
  • Update and maintain the curriculum vitae (CV) for providers.
  • Participate in the development and distribution of monthly divisional on-call schedules.
  • Manage the biweekly and monthly Kronos (timekeeping) and Paid Time Off (PTO) process.
  • Open, categorize, and distribute incoming correspondence daily.
  • Complete reimbursement forms, payment requests, and license renewals.
  • Prepare CME travel request forms and coordinate travel as directed.
  • Maintain a physical onsite presence as required by the Division.
  • Proactively identify problems and opportunities related to divisional operations.
