About The Position

This Medical Office Supervisor position leads daily operations and oversees the administrative team in a busy orthopaedic practice. This hands-on leadership role is responsible for managing patient flow, staff scheduling, operational efficiency, and ensuring exceptional service in a fast-paced environment. The ideal candidate brings 3-5 years of medical office supervisory experience, thrives in high-volume settings, and possesses strong leadership skills to coach and develop staff while maintaining compliance with healthcare regulations. Spanish language skills are a plus but not required.

Requirements

  • Minimum 3-5 years of supervisory or management experience in a medical office setting (REQUIRED)
  • Demonstrated experience working in a fast-paced, high-volume medical environment (ESSENTIAL)
  • Experience in Orthopedics strongly preferred; candidates from other medical specialties (e.g., Sports Medicine, Pain Management, Physical Medicine & Rehabilitation) with relevant supervisory experience will be considered
  • High school diploma or equivalent required; Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or related field preferred
  • Proven leadership and team management skills with ability to supervise, coach, mentor, and develop administrative and clinical support staff effectively
  • Strong organizational and multitasking abilities with capacity to manage competing priorities and maintain efficiency in a dynamic, high-volume orthopaedic practice environment
  • Excellent interpersonal and communication skills; ability to interact professionally and diplomatically with physicians, staff, patients, and external stakeholders
  • Proactive problem-solving mindset with ability to anticipate issues, implement process improvements, and resolve operational challenges quickly
  • Comprehensive knowledge of medical office operations including patient scheduling, registration, insurance verification, billing procedures, and revenue cycle management
  • Solid understanding of HIPAA compliance, OSHA regulations, healthcare privacy requirements, and other federal, state, and local regulatory standards
  • Proficiency with electronic health records (EHR) systems and practice management software; experience with ModMed strongly preferred
  • Ability to collaborate effectively across multiple departments to ensure seamless internal operations

Nice To Haves

  • Spanish language skills (fluent or conversational) strongly preferred to better serve our diverse patient population
  • Prior experience in multi-location medical practice or large group practice setting
  • Certification in healthcare management (e.g., CMPE, CMOM, PAHCOM) a plus
