About The Position

The Registrar is a multi-tasking position that consists of all front-end functions including customer service, telephone management, scheduling, registration, co-pay collections, time of service account management, charge entry, appropriate cash and end-of day closure procedures. This Registrar will answer telephones according to established protocols, screen, and forward calls, providing information and taking messages. Assists in greeting patients and families, direct or escort them accordingly. Assist in coordinating meeting, including any catering needs, and organization of activities. Handle confidential information on a daily basis. Keep lobby area neat and clean. Keep families updated on patient status and kept informed of any delays in schedule. Facilitate the start of Press Ganey Survey upon admission. Control inventory relevant to office supplies. Interact with all levels of management of the facility. Compose and prepare routine correspondence as instructed. Prepare materials for meetings as required. Create and maintain spreadsheets and reports. Collect, sort, distribute, and prepare mail and courier deliveries. Back up for other front office staff. by verify patient pertinent demographic, pertinent historical medical records from a referral source, and financial data prior to, or during each patient visit. Obtain copies of relevant documents, most recent insurance cards and where applicable, verify eligibility of insurance and obtain authorization for services as necessary. Collect required payments or make necessary financial arrangements as appropriate. In this role, the Registrar will perform appropriate and timely charge entry, if not performed electronically through an EMR, for all patients, manage cash drawers according to established protocols, post cash to patients' accounts, and manage patient responsible account balances at the time of service. Maintain organized filing systems Sort mail and distribute accordingly. Keep office inventory and order supplies stocked. Complete a variety of special projects as assigned by administrator. Collaborative interaction with patients, physicians, other staff members and management, excellent customer service and accurate processing of all front-end functions are integral to the success of this individual. These and additional duties as assigned will be performed in a courteous and professional manner. Perform other special projects as assigned.

Requirements

  • High School Diploma
  • 2+ years of administrative experience/medical office experience.
  • Knowledge of policies and procedures.
  • Knowledge of Microsoft Word, Word Perfect, Excel, PowerPoint skills, computer systems, programs and spreadsheet applications.
  • Knowledge of customer service principles and practices
  • Strong verbal, interpersonal and written communication skills required.
  • Skill in solving utilization problems.
  • Skill in written and verbal communication and customer relations.
  • Ability to work with effectively with others.
  • Must be able to work in a fast paced environment and be client service oriented.
  • Ability to identify, analyze and solve claim problems.
  • Must be self-motivated, have excellent organizational skills, good judgment skills and a team player.
  • Requires sitting and standing associated with a normal office environment.
  • Normal busy office environment with much telephone work.
  • Occasional overtime, evening and/or weekend work.

Nice To Haves
