About The Position

The Medical Office Receptionist at Bryan Heartland Psychiatry is responsible for greeting and assisting patients and visitors in a professional and courteous manner, both in person and via telephone. The role involves entering patient demographic and insurance information into the computer, completing filing/scanning and record maintenance tasks, and retrieving patient records for clinical staff and physicians. Additionally, the receptionist schedules patient appointments and manages provider appointment schedules.

Requirements

  • High school diploma or equivalency required.
  • Knowledge of medical terminology desired.
  • Minimum of one (1) year prior reception or office experience preferred.

Responsibilities

  • Commits to the mission, vision, beliefs and consistently demonstrates core values.
  • Answers all incoming calls and forwards callers to the appropriate party; obtains and relays accurate messages in a timely manner.
  • Presents a professional image and communicates effectively in person and via telephone or email.
  • Schedules new and returning patient appointments and manages clinic provider appointment schedules as directed by office manager/supervisor.
  • Accurately enters patient's demographics, including financial details, into the computer.
  • Collects applicable co-pays from patients; electronically posts payment to patient's account.
  • Balances cash drawer.
  • Scans/files patient information into medical record.
  • Performs a variety of clerical tasks, which may include typing, alphabetizing, filing, photocopying, stuffing envelopes, preparing clinic form letters and obtaining disclosures for medical records.
  • Prepares and provides patients with an estimate for their expected services.
  • Sorts and distributes incoming mail.
  • Maintains the orderliness of the front lobby; straightens magazines, toys and newspapers.
  • Keeps stationary supplies stocked and orderly; informs Office Manager/Supervisor of need to replenish items.
  • Maintains professional growth and development through seminars, workshops, and professional affiliations.
  • Participates in meetings, committees and department projects as assigned.
  • Performs other related projects and duties as assigned.
