About The Position

The Medical Office Manager will support the Physician and staff at the Coppell and White Rock locations of Metro Vein Centers. This role involves leading a high-volume medical practice while ensuring exceptional customer service and managing non-clinical operations.

Requirements

  • 1+ years of work experience in a medical office as a Supervisor or Manager.
  • Ability to lead by example and manage a team while contributing as a front-line worker.
  • Excellent interpersonal skills, problem-solving, and leadership skills.
  • Ability to remain calm in stressful situations and respond to patient complaints in a timely and professional manner.
  • Professional communication and presentation skills, including face to face, email, telephone, and video conference.
  • Experience leveraging analytics and reporting.

Nice To Haves

  • Spanish language skills (Preferred)
  • Experience in medical office supervising or management (Preferred)

Responsibilities

  • Manage day to day clinic needs by developing schedules, leading the front desk, implementing productivity standards, resolving operation/facility problems, and implementing new procedures and protocols.
  • Ensure exceptional customer service in all patient interactions and adherence to all policies and procedures.
  • Coach team to ensure quality customer service and prompt and accurate completion of all required documentation.
  • Manage patient satisfaction for the clinic and develop best practices to ensure efficient operations and professional resolution of complaints or issues that arise.
  • Monitor efficiency of reception activities (e.g., responsiveness to calls, attendance rates, and other performance KPIs).
  • Utilize analytical reports to identify trends and recommend changes in strategy and business to improve performance.
  • Optimize patient scheduling to meet the growth goals of the clinic while ensuring a smooth patient flow.
  • Review and monitor all inventory within the office, such as medical supplies and office supplies.
  • Perform all managerial duties such as staff training, evaluation of staff performance, along with hiring, promoting and terminating staff, as needed.
  • Ensure efficient communication between the clinic, call center, billing department, and administrative team.
