About The Position

Blue United Sourcing is seeking a reliable and detail-oriented Administrative Support Assistant to support operations at a Health Center in Santa Fe, New Mexico. This contractor role provides essential administrative support across the Administration Office, Finance Department, Front Desk, and Greeter functions. The ideal candidate is organized, professional, and experienced in office administration within a healthcare or government setting.

Requirements

  • Candidates must demonstrate proficiency in the following areas: Microsoft Word, Excel, and Teams Database and file management Basic financial literacy Event coordination and logistics management
  • Education: High School Diploma or GED required. Proof of graduation must be provided prior to assignment.
  • Experience: Contractors must submit documentation with their quote detailing experience placing or performing as an Administrative Support Assistant within the past 5 years on projects of similar size and scope.
  • Background Check: All contractors must successfully undergo a background check prior to assignment.
  • Driver's License: A valid motor vehicle operator's license is required. Contractors may be required to operate Government-Owned (GSA) vehicles; necessary training will be provided by the Santa Fe Indian Health Center (SFIHC) if applicable.
  • Proof of Good Health: Documentation from the provider's physician or chief of staff confirming no health problems (including disability, emotional instability, or drug/alcohol dependency) that would impair patient care is required at time of application.
  • As this position is onsite within a health center, contractors must furnish documentation reflecting immunity for the indicated vaccine-preventable diseases through documented disease, vaccination history, serology results, and/or any documented episodes of adverse events after vaccination. Measles Mumps Rubella Hepatitis B Varicella Influenza Note: Contractors who are allergic to a vaccine component or have a history of severe vaccine reactions are not required to receive that vaccine, provided documented proof of contraindication is submitted.

Responsibilities

  • Receive, route, and track incoming and outgoing correspondence including controlled and routine materials such as reports, memoranda, and other written communications; prepare outlines and use standard or form letters to respond to inquiries.
  • Perform office automation duties to prepare correspondence, forms, reports, graphs, and charts; enter data into established databases and administrative tracking systems.
  • Maintain the appointment and meeting schedule for the Director and senior staff; serve as the point of contact for conference room scheduling; attend meetings, prepare meeting minutes, and follow up on action items.
  • Receive and screen calls and visitors from within and outside the organization; respond to general inquiries, answer procedural questions, and refer complex issues to the appropriate supervisor.
  • Perform a wide variety of administrative support tasks including purchasing supplies, maintaining filing systems, and preparing travel-related documents for staff.
  • Coordinate new staff and contractor orientations and track required training for all personnel.
  • Prepare travel requests for first-duty or transferring employees and provide guidance on completing travel vouchers.
  • Utilize word processing and office software to produce final-form correspondence, including travel orders, memoranda, and guidance documents; ensure correct formatting, grammar, spelling, punctuation, and clarity.
  • Take fingerprints and ensure investigation documents are completed and forwarded to the Office of Federal Investigations Center.
  • Perform other duties as assigned that are directly related to this position.
