About The Position

The Medical Office Coordinator for the Sleep Center at Fort Sanders Regional Medical Center is a full-time position requiring 80 hours per pay period on a day shift schedule from Monday through Thursday, 7am until 5:30pm. The coordinator will be responsible for obtaining referrals and precertifications, performing various clerical functions, and assisting with back office procedures as necessary. Requirements

  • Minimum of two (2) years experience in a medical office setting.
  • Medical Assistant (MA) or Certified Nursing Assistant (CNA) experience preferred.
  • No specific education requirement; a combination of formal education and/or prior work experience sufficient to demonstrate possession of the knowledge, skill, and ability needed to perform the essential tasks of the job is acceptable.

  • Preference may be given to individuals possessing a high school diploma or GED.

Responsibilities

  • Schedule new and follow-up patient appointments.
  • Coordinate and schedule diagnostic tests, specialty physician visits, hospital admissions, and other services as ordered by the physician.
  • Communicate and follow-up with insurance companies/payors and physician offices to obtain referrals, precertifications, and prior authorizations.
  • Maintain records of referrals and authorizations.
  • Greet patients and visitors, check patients in, and verify and update insurance and demographic information.
  • Collect co-payments and other payments from patients and issue receipts.
  • Assist patients in completing registration sheets.
  • Perform charge entry using correct CPT and ICD-9 coding.
  • Batch daily charges and communicate with billing office staff to ensure correct coding and billing procedures.
  • Assist patients with questions regarding insurance and account balances.
  • Answer multi-telephone line, screen and route calls, provide information, take messages, and retrieve voice messages.
  • Prepare patients for examination by assisting with vital signs and health history/current medications checklist.
  • Occasionally assist physicians during procedures.
  • Communicate test results to patients as directed by physician or nurse.
  • File medical records daily in appropriate sections of medical charts.
  • Assemble new patient charts and pull charts as needed for review.
  • Coordinate with the main office regarding the physicians' calendar of meetings and appointments.
  • Type and mail miscellaneous correspondence as requested.
  • Process incoming and outgoing mail and copy medical records as directed.
  • Maintain care of office equipment and adequate stock of office supplies.
  • Notify supervisor of needed repairs and make repair service calls as directed.
