About The Position

We have an exciting opportunity to join our team as a Medical Office Associate. In this role, the Medical Office Associate is responsible for assisting in the coordination of an ambulatory practice. In this role, the incumbent is responsible for providing basic front-end support for clinical practice operations. May be responsible for pre-authorizations and certifications. The Medical Office Associate will perform a variety of front-end administrative tasks to support practice operations including greeting patients, answering calls, scheduling patient appointments and other administrative duties as needed. Duties include, but not limited to interaction with a diverse patient population, insurance carriers and medical center staff; greeting visitors, answering the telephone, accurately capturing patient demographic information and efficient practice record-keeping. The position requires exposure to sensitive patient information necessitating considerable use of tact and diplomacy.

Requirements

  • High School Graduate or equivalent combination of education and experience.
  • Excellent communication skills.
  • Typing (60 WPM).
  • Proficiency working with computers, specifically the Microsoft Office Suite.
  • Professional demeanor fielding a high volume of daily patient telephone calls.
  • Ability to learn established physician offices software packages and adheres to best office practices including but not limited to providing quality customer service and a business casual dress code

Nice To Haves

  • Two (2) years of experience working in a physicians private practice.
  • Graduate of a Business/Secretarial School or equivalent combination of academic and professional experience.
  • Knowledge of medical terminology and CPT and ICD-9 coding and medical billing

Responsibilities

  • Schedules and manages patient appointments, procedures, and waitlists; communicates preparation instructions, forms, and updates to patients.
  • Obtains and documents authorizations and referrals; manages related work queues, pre-authorizations, appeals, and peer to peer requests.
  • Answers and screens phone calls, emails, in-basket messages, and electronic inquiries; provides non-clinical information or routes to appropriate staff in a timely manner.
  • Greets and registers patients; collects and verifies demographic, insurance, and other required information; directs requests for assistance to the appropriate individual.
  • Manages mail, faxes, and other incoming/outgoing documents; organizes, scans, uploads, and routes information in EPIC according to scanning and record-keeping guidelines.
  • Releases medical records in accordance with HIPAA and NYU Langone policies, documents disclosures in Epic, and fulfills requests within established timeframes.
  • Manages physician and practice calendars, including scheduling, rescheduling, and sending calendar invites; collaborates with other NYU Langone sites to ensure continuity of care.
  • Completes forms, memoranda, correspondence, and routine documents accurately; secures required signatures and forwards items to the correct destination.
  • Receives prescription refill requests, locates information in the EMR, and tasks appropriate clinical staff; communicates with pharmacies and patients regarding demographic, insurance, and status information, routing clinical questions to licensed staff.
  • Maintains professional relationships with physicians, nurses, and staff; assists with training and guidance of less experienced team members; participates in onboarding and workflow education.
  • Prioritizes and completes work accurately and on time in a high-volume environment; reviews own work for accuracy and completeness.
  • Ensures confidentiality of all patient information; refers all clinical questions, including diagnosis or treatment, to appropriate licensed providers.
  • Promotes and supports the use of MyChart and other digital tools to enhance patient access and engagement.
  • Maintains a clean and organized patient and work environment, including waiting areas; restocks supplies as needed.
  • Serves as a NYU Langone Health brand ambassador, consistently demonstrating the CARES Service Strategy and LEARN model to ensure an excellent patient experience and effective service recovery.
  • Works collaboratively with colleagues, Patient Access Center, and Central Billing Office to resolve patient issues and improve access and experience; shares ideas for process improvement with leadership.
  • Assists with special projects and reports as assigned, ensuring information is accurate and escalating issues to supervisors when needed.
