About The Position

The position involves performing a variety of medical office support services for Outpatient Services. The primary responsibilities include routine office functions, preparation of billing forms, scheduling, insurance authorizations, preparation of surgical instrument trays, and assistance at patient care activities that do not require direct physician supervision. The role is part of a patient-centered care team that focuses on coordinated care for individual patients, supporting patients and families in managing population health through evidence-based methodologies. The position reports to the Director of Operations of Outpatient Services.

Requirements

  • High school graduate and completion of one year training as Medical Assistant preferred.
  • Minimum three years experience as a Medical Office Assistant preferred.
  • Experience with coding is helpful.
  • Basic Life Support (BLS) certification required within 90 days of hire date.

Responsibilities

  • Prepares daily schedule and distributes it.
  • Answers incoming calls courteously and efficiently, routing medically related calls to appropriate care providers.
  • Prepares charts for appointments.
  • Obtains and updates all patient demographic information.
  • Sorts and distributes mail according to office protocol.
  • Makes necessary appointments per provider instructions during check-out functions.
  • Prepares orders for any testing required.
  • Obtains needed prior authorizations for procedures or tests.
  • Provides patients with test instructions and educational materials as appropriate.
  • Documents all follow-up and appointments in the medical record.
  • Verifies demographic information and updates it in the computer for billing purposes.
  • Ensures encounter forms are complete and accurate for the billing department.
  • Tracks encounters and associates them with daily visits.
  • Prepares patients for exams and procedures, takes vitals, etc.
  • Prepares patients and performs phlebotomy as needed, if competent.
  • Prepares surgical instruments, cleans, and sends them for sterilization according to protocol.
  • Assists provider during exams, surgical procedures, and suture removals as necessary.
  • Under direct supervision of the provider, performs prescription renewals and medication reconciliation with each visit.
  • Performs ancillary testing such as EKG and spirometry.
  • Performs waived testing after completing annual competency.
  • Phones patients with pertinent information and refers complex issues to nursing.
  • Tracks outstanding results, referrals, and authorizations.
  • Follows protocol for disposing of regulated wastes.
  • Works closely with office patient care coordinator and other care team members to ensure patients receive appropriate education, referrals, medications, and preventative care.
  • Transcribes notes and updates medical records when applicable.
  • Files/scans results according to protocol.
  • Processes all medical records requests according to protocol.
  • Participates in processes that promote a functional care team, including team meetings and electronic messaging.
  • Participates in performance evaluation and quality assurance activities of the practice.
  • Assists Administrator, providers, nurses, and other staff with practice-related functions.
  • Maintains professional behavior and appearance.
  • Functions with awareness for the safety of patients, co-workers, and self, ensuring OSHA compliance.
  • Attends all annual mandatory educational programs and participates as appropriate.
