The Front Office Receptionist plays a key role in creating a positive first impression for patients by greeting visitors, checking patients in and out, answering phones, scheduling appointments, collecting payments, verifying insurance, and ensuring the smooth flow of daily operations. Requirements

  • High school diploma or equivalency required
  • Minimum of 1 year of experience in a front desk role within a medical or doctor’s office setting
  • Understanding of insurance coverages (co-pays, deductibles, co-insurance, etc.)
  • EMR experience required; E-Clinical Works preferred
  • Bilingual candidates preferred but not required
  • Ability to draw blood preferred but not required
  • Excellent time management skills and ability to multi-task and prioritize work
  • Social perceptiveness and service-oriented
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills

Responsibilities

  • Greet patients and visitors, providing a professional and welcoming first impression
  • Check patients in and out, ensuring accurate collection of demographic, billing, and insurance information
  • Verify insurance eligibility ensuring accuracy
  • Answer, screen, and direct phone calls; respond to patient inquiries or route to the appropriate staff member
  • Schedule, reschedule, and confirm patient appointments
  • Notify medical staff of patient's arrival
  • Process insurance referrals and obtain prior authorizations as required
  • Collect co-pays, deductibles, and outstanding balances; explain patient payment responsibility
  • Review patient balances for accuracy; calculate and collect patients out of pocket cost
  • Maintain accurate patient records in the EMR system
  • Assist in maintaining front office supplies and equipment
  • Protect patient privacy and maintain HIPAA compliance
  • Perform other administrative duties as assigned to ensure smooth daily operations
