About The Position

The University of Nevada, Las Vegas invites applications for Medical Front Office - Administrative Assistant I, UNLV Student Wellness. The AAI Medical Office Assistant duties include but are not limited to: Front Office Duties such as accurately scheduling, re-scheduling, canceling, and confirming appointments; entering and updating patient/client data into the electronic health record (EHR); verifying, obtaining, and maintaining patient/client demographics; performing check-in and check-out procedures; assisting and guiding patients/clients with the patient portal system; troubleshooting portal use issues; accepting and processing payments; and maintaining SWC patient accounts. Reception Duties include greeting patients, providing accurate information about SWC services, managing entry into the clinic area, answering telephones and emails, and ensuring a neat and professional appearance of the lobby and front desk areas. The role requires compliance with policies, procedures, and accreditation standards, as well as participation in infection prevention assessments and safety drills.

Requirements

  • Graduation from high school or equivalent education.
  • One year of clerical experience including maintaining records, answering telephones, and reviewing forms.
  • Six months of experience as an Administrative Aid in Nevada State service.
  • An equivalent combination of education and experience.

Nice To Haves

  • Worked in a healthcare facility/medical facility.
  • Experience with insurance claims processing, billing, and appeals.
  • Knowledge and experience with account receivables, cash collections, and reconciliation.

Responsibilities

  • Accurately schedule, re-schedule, cancel, and confirm appointments.
  • Enter and update patient/client data into the electronic health record (EHR), forms, and reports.
  • Verify, obtain, and maintain patient/client demographics.
  • Perform check-in and check-out procedures.
  • Assist and guide patients/clients with the patient portal system.
  • Troubleshoot portal use issues and resolve portal concerns.
  • Accept and process payments according to department procedures.
  • Perform assigned clinic opening and closing procedures.
  • Assist during daily reconciliation process.
  • Maintain and update SWC patient accounts in a timely manner.
  • Assist in preparing and mailing patient billing statements.
  • Greet patients, clients, and visitors upon entering the Student Wellness Center.
  • Provide accurate general information about SWC and its services.
  • Control flow, monitor, and manage entry into clinic area.
  • Answer telephones, emails, and instant messages.
  • Coordinate deliveries and patient/client/guest/visitor flow.
  • Ensure a neat, clean, and professional appearance of the lobby and front desk areas.
  • Report work orders or hazards.
  • Prioritize and perform multiple tasks as needed in the clinic.
  • Maintain proper documentation and clinical records.
  • Comply with SHC/FAST Center’s policies, procedures, and accreditation standards.
  • Strictly uphold the confidentiality of health information.
