About The Position

The Department of Surgery is seeking to hire a self-motivated professional with excellent organizational and program development skills to serve as a Program Specialist (PS) of the General Surgery Residency Program. Under general supervision, this position will be responsible for the day-to-day administrative aspects of the General Surgery Residency Program. Responsibilities include recruitment, maintenance and tracking of documentation required for accreditation, coordination of schedules, tracking expenses and coordinating events such as graduation and retreats. This position also requires working closely with surgical residents and the program director. This is a position that requires strong attention to detail and ability to work in a fast-paced environment with interruptions and a growth mindset. Organizational skills, ability to manage time and deadlines, and communicate effectively are a must. The applicant must have knowledge of policies and procedures in working with confidential files and records. This position involves database management and requires advanced scheduling skills. The program specialist coordinates and oversees all administrative aspects of a large Graduate Medical Education program, including but not limited to, recruitment and onboarding, designing and maintaining complex schedules, ensuring compliance with internal and external regulatory agencies, coordinating testing and educational experiences, and working directly with the Program Director and residents. The program specialist will serve as the principal contact with external agencies to facilitate compliance with requirements and other programmatic initiatives. Requirements

  • High school diploma or GED
  • at least 6 years of experience directly related to the duties and responsibilities specified
  • knowledge of policies and procedures in working with confidential files and records

  • Experience with Banner or similar platform
  • Experience with Chrome River or similar platform
  • P-card/Lobomart Usage Purchasing Experience, include reallocation and reconciliation - Or other purchasing using company punch-out catalog.
  • Experience with New Innovations or similar programs
  • Experience w/ACGME platform and requirements
  • Knowledge of basic accounting principles and budget planning
  • Knowledge of HIPAA/FERPA Policies and Procedures
  • Organizing and coordinating skills
  • Experience with Microsoft Office, including outlook, word, excel, SharePoint and PowerPoint
  • Experience in providing administrative support in a professional medical office environment
