Requirements

  • Must be 21 years of age or older.
  • Successful completion of the ADP Selective Screening Services background check, as well as any required state and federal background checks.
  • Associate’s degree in medical coordination or related field OR High School Diploma/GED with 2+ years of related experience.
  • At least 1 year of administrative experience, preferably in a healthcare setting.
  • Possess valid driver’s license with ability to be insured by our auto insurance policy which includes, but not limited to, the following requirements: 4 continuous years of driving experience, 21 years of age or older, less than 3 moving violations in the last 3 years, and no more than 1 major violation in the last 3 years.
  • Ability to work on a computer, use electronic systems, and communicate with others through both written and verbal formats.
  • Ability to sit, stand, or walk for extended periods, lift up to 20 lbs, and climb stairs as needed.
  • Excellent communication skills, both written and verbal.
  • Proficiency in office equipment and software, including Microsoft Office, G Suite, EMR (Best Notes), and Adobe Acrobat.
  • Knowledge of clinical and medical terminology.
  • Ability to maintain professionalism and foster positive relationships with clients, families, and coworkers.
  • Strong organizational skills, with the ability to prioritize and manage multiple tasks effectively.
  • Ability to work independently and as part of a collaborative team.

Responsibilities

  • Provide essential clerical and administrative support to the nursing department and Executive Directors.
  • Triaging client calls and ensuring that licensed personnel are alerted as necessary.
  • Greet clients in a warm, professional manner, ensuring a positive experience.
  • Notify clients of upcoming appointments and assist in scheduling.
  • Maintain a well-organized nursing station while fostering a quiet, focused atmosphere for optimal workflow.
  • Handle pharmacy orders, chart audits, and documentation submissions.
  • Collaborate with healthcare providers, coordinate medication needs, and manage medical appointments for clients.
  • Manage office systems, including intake procedures and database organization.
  • Ensure compliance with HIPAA and other regulatory standards.
  • Manage purchasing orders for nursing supplies, ensuring timely approvals.
  • Prepare letters, reports, and presentations for the nursing department as needed.
  • Support intake assessments and maintain client medical records in line with best practices.
