About The Position

Under physician direction and supervision, the Medical Assistant prepares patients for office visits, takes vital signs, records information in the medical record, obtains patient chief complaint, escorts patients to exam rooms, and prepares them for physician visits. The role ensures patients are ready in exam rooms for physician/mid-level provider arrival and reviews patient medical records to confirm all necessary test results, forms, and reports are available. The Medical Assistant assists physicians/providers with procedures and processes specimens according to established procedures. They perform in-office testing as directed by the physician/provider, including EKG's, vision testing, strep tests, urinalysis, suture removals, injections, and immunizations. The position also involves assisting physicians with the completion of patient forms requested by third parties, arranging patient hospital admissions and test scheduling, and ensuring clinical and drug sample areas are maintained according to Joint Commission and other regulatory agencies. Maintaining exam rooms to ensure supplies are present, equipment is in working order, and the area is clean is also a key responsibility. The role may also require assisting with patient phone triage. Essential functions include obtaining patient medical records, ensuring necessary reports and test results are available, escorting patients, documenting vital signs and chief complaints, assisting with gowning, and aiding in examinations or procedures. The Medical Assistant processes specimens, performs various in-office tests, and maintains exam room safety and cleanliness. They assist with patient forms, copying records for release of information, prescription refill calls, patient call backs, and managed care referral processes. Scheduling appointments, arranging inpatient admissions, and ensuring the clinical work environment meets regulatory requirements are also part of the role. Additional duties include assisting with medical record audits, documenting patient phone calls, updating problem and medication lists, tracking preventive medicine, and maintaining patient logs. Credentialed Medical Assistants may assist with medication, laboratory, and radiology order entry into the EHR. Maintaining patient confidentiality, evaluating safety and efficiency factors, handling incoming telephone calls according to customer service standards, and fostering cooperative relationships are also expected. The Medical Assistant is responsible for safe work practices, knowledge of age-specific patient needs, and interacting with diverse patients respectfully. Attendance at staff meetings and potential travel to other SJMHS sites are also required.

Requirements

  • CMA, RMA, CCMA, or NCMA certification through an NCCA accredited program (American Association of Medical Assistants (AAMA), American Medical Technologists (AMT), National HealthCareer Association (NHA), or National Center for Competency Testing (NCCT)).
  • Alternatively, LPN (Licensed Practical Nurse) or RN (Registered Nurse) license through the State of Michigan.
  • If eligible to register for the exam prior to hire, must successfully attain CMA, RMA, CCMA or NCMA certification within 6 months from date of hire.
  • Must obtain certification within six months from the date of hire to perform medication, laboratory and radiology order entry into the EHR.
  • Familiarity with common prescription drugs.
  • Ability to demonstrate competency in obtaining accurate vital signs and in the performance of in-office procedures.
  • Must participate in and be knowledgeable in mandatory safety education and environment of care (e.g., infection control, universal precautions, medical waste disposal, quality control and proficiency testing for office equipment, proper handling of specimens, electrical safety, sterilization techniques).
  • Experience with managed care plans and the associated requirements of patient referrals.

Nice To Haves

  • 2 years previous clinical experience or equivalent combination of education and experience preferred.
  • Formal education in medical terminology and anatomy & physiology preferred.

Responsibilities

  • Prepare patients for office visits, including obtaining medical records, ensuring necessary reports/forms/test results are available, escorting to exam room, and preparing for physician/provider.

  • Maintain exam rooms to ensure equipment is in good working condition, supplies are available, and the room and contents are clean and safe for all ages of patients/visitors (e.g., sharps containers stored appropriately).
  • Assist physician/provider with completion of patient forms requested by third parties (e.g., Workers comp, disability).
  • Assist with copying of records for release of information requests.
  • Assist physician and providers with prescription refill calls and patient call backs.
  • Assist with managed care referral process, pre-authorization, and pre-certification processes.
  • Schedule patient appointments with other physicians or ancillary testing departments.
  • Arrange for inpatient admission to hospital.
  • Ensure clinical work environment meets Joint Commission and other regulatory agency requirements, working with MPC Clinical Coordinator.
  • Assist with the medical record audit process.
  • Document patient phone calls and advice/treatment given in the patient medical record.
  • Assist physician with keeping problem lists and medication lists up to date.
  • Assist physician with preventive medicine tracking (e.g., mammograms, Halc for diabetics, well-baby and well-child exams).
  • Develop and maintain appropriate patient logs and records (e.g., test ordered) for tracking test results, physician review, and patient communication.
  • Assist physician and Office Coordinator in developing and maintaining procedures for patient testing recall systems (e.g., HalC for diabetics, Coumadin logs).
  • May assist with medication, laboratory and radiology order entry (including ECGs) into the EHR if a credentialed Medical Assistant through an approved ICE NCCA provider (certification required within six months of hire for this duty).
  • Maintain patient confidentiality of information pertinent to patients, physicians, providers, families and visitors.
  • Discuss patient and hospital information only among appropriate personnel in appropriately private places.
  • Evaluate factors related to safety, effectiveness, efficiency, environmental concerns and cost, choosing options that result in acceptable outcomes.
  • Receive and evaluate incoming telephone calls according to Best Practice Model for MPC and SJMHS customer service standards, involving physician/providers as appropriate for patient triage protocols.
  • Maintain good rapport and cooperative relationships, approaching conflict constructively.
  • Identify problems, offer solutions, and participate in their resolution.

  • May require travel to other SJMHS sites within SE Michigan.
