About The Position

Tidewater Inc is currently seeking a skilled Medical Administrative Assistant to work at the Rowley Training Facility, a vital hub for federal training operations for the United States Secret Service. Tidewater was founded in 1983 as an industrial hygiene (IH) and environmental consulting services provider in Baltimore, Maryland. Today, Tidewater has over 140 employees performing work across three divisions involving environmental consulting, facilities, and construction. Our environmental division includes consulting, remediation, radiological, and IH service lines. Tidewater is headquartered in Elkridge, Maryland. We currently have eight offices throughout the United States including California, Ohio, Tennessee, and Pennsylvania with additional personnel working in Japan, Kenya, and Germany. Our business spans over 75 multi-year government contracts and an average of 1,000 projects annually for Federal, State, municipal, and commercial clients worldwide. Tidewater’s IH Service Line has been a key component of the business since the beginning, providing lead, asbestos, and mold assessments; hazardous material surveys; abatement monitoring; indoor air quality testing; drinking water surveys; worker exposure assessments; Leadership in Energy and Environmental Design (LEED) Pre-Occupancy testing; and compliance audits for a variety of clients. Key IH Service Line clients include U.S. Department of Housing and Urban Development, local agencies including Baltimore, Prince George’s, Ann Arundel, Howard counties, City Government, Educational Institutions, and Private Clients (construction firms and architectural firms). Our IH group is comprised of multi-disciplinary staff (CIH, Certified Safety Specialists, Environmental Scientists, etc.) with requisite professional, state, and local certifications. Requirements

  • Bachelor’s degree (BS) required.
  • Minimum of 8 years’ experience in a medical administrative role.
  • Proficiency in Microsoft Excel and Outlook
  • Strong communication and organizational skills
  • Ability to handle sensitive information confidentially
  • Experience managing multiple tasks in a high-stakes, secure environment

Responsibilities

  • Review and respond to daily emails with vendor regarding applicant exam statuses.
  • Maintain and update Excel spreadsheets tracking:
  • Scheduled exams
  • Follow-ups and no-shows
  • Medically qualified/disqualified applicants
  • Applicants disqualified due to polygraph or background failures
  • Notify vendor to cancel exams for applicants who failed polygraph or background checks.
  • Address applicant inquiries and concerns via email or phone.
  • Monitor deferred applicants and follow up on required documentation and appointments.
  • Organize applicant exam files and documentation.
  • Notify vendor to cancel exams for applicants who failed polygraph or background checks.

  • Distribute MRB referral and appointment confirmations to employee supervisors.
  • Request and review employee position descriptions.
  • Prepare employee summaries for board review.
  • Circulate medical records to Legal for redaction and compliance.
  • Maintain and organize MRB case folders and deliver them to board members prior to meetings.
  • Update and manage the MRB tracking spreadsheet.
  • Communicate MRB decisions to senior management for approval.
  • Prepare and organize Fitness for Duty case files.
  • Confirm employee clearance status with supervisors.
  • Notify supervisors of scheduled exams.
  • Coordinate building access for employees undergoing evaluations.
  • Liaise with vendor to schedule psychological evaluations.
  • Track Fitness for Duty cases and decisions in Excel.
  • Draft and send formal memorandums for medical evaluations.
  • Notify vendors of retired or separated employees.
  • Provide administrative support to the medical team as needed.
  • Upload and maintain medical documentation in electronic medical record systems.
  • Assist with administrative operations within the on-site Health Unit.
