About The Position

This Medical Assistant position supports the healthcare team in delivering high-quality, patient-centered care to students and faculty across all ASU Health Services clinic locations in the Phoenix metro area (West, Tempe, Polytechnic, and Downtown). Downtown is the primary site, with occasional travel to other ASU Health Services clinics. This is a pension-eligible role with both front and back-office responsibilities. The role provides direct patient care assistance, scheduling and registration support, phone queue management, referral coordination, and clinical procedures support to ensure efficient and seamless clinic operations.

Requirements

  • High school diploma or GED equivalent.
  • BLS/CPR certification or ability to obtain within 90 days of hire.
  • Minimum one (1) year of experience in a medical assistant or clinical support role.
  • Minimum one (1) year of front office, patient services, or healthcare customer service experience.
  • Knowledge of medical terminology.
  • Skill in both verbal and written communication.
  • Exceptional customer service skills.
  • Familiarity with HIPAA and health records privacy and security regulations.

Nice To Haves

  • Completion of an accredited Medical Assistant program.
  • Current MA certification (CMA, RMA, CCMA, or equivalent).
  • Experience operating in a hybrid front/back office role strongly preferred.
  • Proficiency in Electronic Health Record (EHR) systems; NextGen experience preferred.
  • Experience in appointment scheduling and multi-provider calendar management.
  • Experience in a multi-line phone or integrated call center environment.

Responsibilities

  • Completes referral documentation.
  • Supports quality assurance reporting.
  • Maintains a professional, positive, and energetic demeanor while delivering accurate, compassionate service.
  • Serve as the primary point of contact for incoming patients at check-in and check-out.
  • Answer and manage incoming telephone calls via multi-line phone and integrated call center queue; maintain phone metrics established by supervisor.
  • Schedule, reschedule, and manage patient appointments using the Electronic Medical Record (HER) with accuracy and efficiency.
  • Register patients into the EHR, including demographic verification, insurance enrollment, and consent documentation.
  • Obtain and verify patient information, including insurance details; reconcile coverage at time of service.
  • Process and complete referral documentation to outside providers and specialists.
  • Perform medical history entry and pre-visit data entry into EHR as needed.
  • Triage incoming requests using analytical judgment to determine urgency and the appropriate next steps for urgent and non-urgent patient care needs.
  • Participate in Quality Assurance reporting to support high-level patient experience metrics.
  • Maintain confidentiality of all patient information in strict accordance with HIPAA regulations and applicable ASU policies.
  • Perform patient rooming, manage patient flow, and escort patients to exam areas.
  • Complete patient intake, including reason for visit, past medical history, vital signs, medication reconciliation, and allergies.
  • Administer screening questionnaires.
  • Maintain accurate documentation in the Electronic Medical Record (EMR).
  • Perform procedures including venipuncture, EKGs, wound care, and medication administration (oral, ID, SQ, IM).
  • Administer immunizations in accordance with written standing orders and policies.
  • Assist providers with examinations and minor surgical procedures.
  • Prepare exam rooms with all necessary instruments, supplies, and consent forms.
  • Apply orthopedic splints, DME appliances, and assist with cast removal.
  • Maintain inventory of medications and medical supplies as necessary.
  • Complete and carry out physician orders; provide patient instructions and directions as needed.
  • Enter lab results and other patient results into EMR.
  • Perform and participate in the sterilization of instruments and maintain infection control standards.
  • Maintain a clean and hygienic clinical environment.
  • Provide training and work direction to new ASU Health Services team members and extern students as directed by the supervisor.
  • Performs other job-related duties as assigned.
