About The Position

The OTP Medical Assistant Supervisor is primarily responsible for providing support to the clinical providers by facilitating patient flow, assisting with various patient care activities, and performing related administrative and clerical functions. The Supervisor is a working Medical Assistant responsible for providing optimal service to patients, respecting and demonstrating patient confidentiality, and working within the established parameters of the job at all times. The OTP Medical Assistant Supervisor should adhere to and value the philosophical priorities of the HARM Reduction Model, that Medication Assisted Treatment is the preferred method of addressing opioid addiction and that every patient deserves to be treated with respect, compassion, and dignity.

Requirements

  • High School Diploma or equivalent and Completion of qualified Medical Assistant course; Medical Assistant Certification or Registration valid in the State of WA is required.
  • 3+ years of patient care experience in a clinical setting preferred.
  • Previous patient care experience including EKG;s and observed UA collections.
  • Demonstrated competency in performing venipuncture, including difficult draws.
  • Computer literate, with basic knowledge of Microsoft Office Suite, and electronic medical records systems, as well as a high level of initiative in keeping current with technological change.
  • Ability to establish and maintain effective working relationships with staff, clients, and outside contacts from a wide variety of ethnic socioeconomic, and cultural backgrounds; good diplomatic skills, including strong conflict-resolution skills.

  • Conducts all business activities in a professional and ethical manner.
  • No history of alcohol or other drug misuse for a period of 3 years prior to employment and does not display evidence of alcohol or other drugs while employed.
  • Complies with and up to date with all other testing, screening, and credentialing as required.
  • Obtain and maintain a Level 3 Kalispel Tribe of Indians Work Permit.

  • Opioid Treatment Program experience is preferred but not required.

Responsibilities

  • Oversee daily activities of medical assistants to assure smooth clinic workflows
  • Train, mentor and evaluate medical assistant staff
  • Create and manage staff schedules, assuring adequate coverage
  • In collaboration with the medical providers, facilitate onboarding and training of all new staff.
  • Conduct annual skills checklists for all medical assistants
  • Communicate updates, changes and expectations to the medical assistant team
  • Creating and updating playbooks for medical assistants in collaboration with the provider team.
  • Check member charts daily to ensure proper workflows are being executed by Medical Assistant staff and fix any issues found.
  • Act as a primary point of contact for MAs when questions or issues arise.
  • Resolve all orders on hold in Millennium and work directly with Millennium staff for ordering, coordinating meetings, providing information requested, resolve issues related to drug screenings including billing, rejected samples, mislabeled specimens, etc.
  • Coordinate with Stericycle for pick-ups of bio-hazard waste and skip pick-ups when not necessary.
  • Complete weekly reports to determine number of incomplete medical workups to stay up to date on KPI’s for the department.
  • ensure facility is always well stocked with necessary supplies.
  • Work with the KIPU lab team to adjust laboratory orders.
  • Maintain relations with Millennium, LabCorp, and health department contacts.
  • Work with the Health Department to share lab results and ensure proper treatment options for members.
  • Create processes and procedures for Millennium staff to follow when working in our facility as directed by Medical Director & Clinic Administration
  • Complete weekly inventory of all medical supplies needed from Amazon, McKesson, LabCorp and Millennium and complete ordering of proper amounts of supplies through each vendor to ensure facility is always well stocked with necessary supplies. Ensure that inventory is counted and entered into the Inventory Management Planner and all inventory related tasks are completed in a timely manner.
  • Maintains open, honest, and respectful communication with all team members, avoiding behaviors that may undermine trust or team cohesion.
  • Complete all misc. tasks assigned by Medical Director and Clinic Administrator.
  • Create training materials for new employees to reference.
  • Work directly with providers, peers, PSR’s and SUD staff to answer any questions needed.
  • Ensures implementation of all clinic policies and procedures; recommend policy procedure updates and changes, as necessary.
  • Ensures security of medications, patient records and any other documentation required by the MSO, the FDA, DEA, and/or state agencies.
  • Ensures that the clinic protects the rights and confidentiality of all patients to provide each patient with the required medical and clinical care.
  • Maintains a high-quality patient care environment by cleaning, preparing, and stocking all examination rooms, UA lavatories and treatment areas in accordance with established standards. Assists in the care, cleaning, sterilization, and maintenance of medical equipment and instruments. This includes the monitoring of relevant expiration dates, established maintenance schedules, and assistance in maintaining medical supply inventories.
  • Review patient schedules and EMR, in advance of the patient visit to identify outstanding medical reports, in order to report the results to the attending Provider on staff.
  • Prepares patients for their visit, examination procedure and/or treatment in accordance with established workflows. Obtains and documents vital signs, required screenings and patient complaints.
  • Prepares appropriate paperwork for procedures, laboratory work, tests, or referrals for providers.
  • Performs UA collections—including observed collections.
  • Performs blood draws
  • Perform EKG’s and other medical office testing and procedures.
  • Complies with other ad hoc requests and projects as assigned.
  • Maintain a strong policy knowledge of all applicable Federal, State, and Local rules, laws and regulations and maintains compliance.
  • Familiar with standards requires by Board of Health, OSHA, etc., and the application of such.
  • Knowledge and compliance with HIPAA policies and procedures.
  • Participate in Federal and State substance abuse training and continuing education as needed to safely and effectively perform in the position.
  • Interacts with all staff in a positive and motivational fashion supporting the company’s mission and Best Practice Member Experience.
  • Provides direction to clinic personnel and relays corporate mandates, goals, and objectives.
  • Additional duties as assigned.
