About The Position

The Hospital Assistant III plays a key role in supporting patient care within the Rheumatology, Arthritis, Scleroderma, and Nephrology ambulatory practices. Working under the supervision of the Practice Supervisor/Manager and in collaboration with clinical nursing staff, this position provides direct clinical support, patient care assistance, and administrative coordination to ensure high-quality, patient-centered care. This role performs a variety of clinical tasks—including vital signs, patient preparation, laboratory procedures, and care coordination—while supporting workflow efficiency, patient safety, and positive outcomes. The Hospital Assistant III also assists with data entry, chart updates, patient education, referrals, and clinical communications across the care team.

Requirements

  • Familiarity with insurance and prior authorizations
  • Experience with analyzing quality improvement data and metrics
  • Past coordination of procedures
  • Ability to use EMR and perform chart abstraction into EMR – specifically Epic or APeX
  • Current American Heart Association CPR Certification.
  • Strong computer skills and use of Microsoft office
  • Ability to prioritize work efficiently
  • Excellent interpersonal communication skills and writing skills
  • Excellent organizational and problem solving skills
  • Must be able to multi-task and be flexible in changing work assignments at short notice
  • Familiarity with different insurances, resources available for patient medication and needs for prior authorizations
  • American Heart Association BLS – CPR Certified
  • Medical Assistant Certification
  • Minimum of 2 years’ experience in an outpatient practice in either a clinical or administrative capacity

Nice To Haves

  • Bilingual in Spanish, Cantonese, and/or Russian preferred
  • Bachelors degree in health or behavioral science.
  • Experience with insurance verification

Responsibilities

  • Monitor patient flow and support medication reconciliation.
  • Perform routine clinical duties (e.g., vital signs, height, weight, chief complaints).
  • Assist patients with exam preparation and clinical research forms.
  • Facilitate interpreter services and document medication requests.
  • Support providers by appealing medication/procedure denials and managing prior authorizations.
  • Assist with medication review and entry of patient data into flow charts.
  • Perform point-of-care testing, administer medications/injections, and ensure safety during patient transport.
  • Work collaboratively as an internal float across departments.
  • Answer patient calls courteously and triage messages.
  • Provide support via telephone, MyChart, and in-basket messaging.
  • Maintain compliance with HIPAA, UCSF communication standards, and conflict resolution protocols.
  • Inform patients of appointment delays and provide timely updates.
  • Assist providers with completing forms and scheduling patients.
  • Coordinate check-in, check-out, and telehealth visits.
  • Manage provider clinic schedules, verify insurance, and support quality improvement projects.
  • Document patient interactions and ensure accurate record-keeping.
