About The Position

Become a part of our caring community and help us put health first The Medical Assistant – Refill Specialist is responsible for processing medication refill requests in a timely and accurate manner, following established protocols and working under the supervision of a licensed provider. Key duties include verifying patient information, reviewing medical records to ensure medication safety, communicating with pharmacies and providers, and maintaining thorough documentation in the electronic health record system. This role also includes back-end responsibilities such as accurately updating medication records, ensuring compliance with regulatory guidelines, monitoring refill request queues, and assisting with audit preparation and reporting. The ideal candidate demonstrates strong attention to detail, professionalism, and effective communication skills while supporting quality patient care and medication management. The Medical Assistant – Refill Specialist plays a vital role in supporting clinical operations by processing medication refill requests efficiently and accurately, in accordance with established protocols and under the supervision of licensed providers. This position ensures safe medication practices and supports quality patient care through effective communication, documentation, and collaboration.

Requirements

  • Candidates must reside within the greater Kansas City area to be eligible for this remote role
  • Certified or Registered Medication/vaccine administration experience
  • 1+ years MA experience
  • High school diploma or equivalent
  • CPR Certified
  • Phlebotomy experience
  • This role is considered patient facing and is part of the company's Tuberculosis (TB) screening program. If selected for this role, you will be required to be screened for TB

Nice To Haves

  • 1+ years MA experience in PCO center
  • Value Based Care experience including knowledge of HEDIS, CPT/ICD coding, and CAHPS/HOS Patient Experience
  • Bilingual proficiency in English and Spanish - must pass proficiency exam prior to foreign language communication

Responsibilities

  • Review and process medication refill requests following established clinical guidelines and provider protocols
  • Verify patient information and eligibility for requested refills
  • Assess patient medical records to ensure medication safety and appropriateness
  • Communicate with pharmacies, providers, and patients regarding refill requests and medication updates
  • Document all refill activities and communications accurately in the electronic health record system
  • Maintain compliance with regulatory standards, confidentiality, and organizational policies
  • Perform back-end responsibilities including updating medication records, monitoring refill request queues, and assisting with audits and reporting
  • Collaborate with clinical teams to resolve medication-related issues and support patient care initiatives
