About The Position

Under general supervision and collaboration with the Clinical Coordinator, Medical Director and Program Director, plans, organizes, directs, and controls all activities involved in the effective, efficient, and economical utilization of material resources and personnel of the delegated specialty service, ensuring patient service is continuous and of the highest quality. Responsible for streamlining the efficiency and safety of the flow of the patients throughout the clinic on a daily basis. For the continuity of care, this person utilizes her assessment skills for the correct collaboration of providers to ensure the appropriate choice of care for each specific patient and their individual complexities.

Requirements

  • 3 Years of Medical Assistant experience required, preferably in a busy clinic.
  • BLS - Basic Life Support

Responsibilities

  • Reports to the Clinical Coordinator. Works collaboratively with physicians, leadership, nurses and MAs and other ancillary departments where necessary. Coordinates the overall flow of the clinic
  • Motivates and directs Nurses and MAs
  • Makes room assignments for the physicians, nurses and MAs appropriate to specific needs of the patient being seen on a daily basis. Assigning staff to various PODS.
  • Develops and implements action plans to improve daily patient flow of the clinic and appropriate utilization of the rooms
  • Manages, plans, and monitors day-to-day clinical operations of specialty service.
  • Collaborates with MAs to ensure all necessary equipment and supplies are available for the clinic, ie instruments, MIST.
  • Monitors dressing supplies and pharmaceutical products.
  • Monitors room turnover and case set up, cleans exam rooms when necessary to facilitate continuity of patient flow.
  • Provides direct patient care as needed, including offloading and specifically assisting with Podiatric patients, MIST therapy.
  • Orients new staff to specialty service.
  • Other: Triage phone calls to assist nurse of the day Coordinates ambulance transportation for stretcher patients. Responsible for overseeing and assisting the MAs in their assignments. Orients nursing students who attend the clinic as part of their clinical
  • Supports cost containment efforts through conservation of supplies and care of equipment.
  • Informs Clinical Coordinator of specialty service activities and issues.
  • Identifies areas of improvement in patient flow and utilization of resources.
  • Reviews and prioritizes specialty service capital needs.
  • Identifies non-capital equipment and supply needs.
  • Participates in hospital safety programs.
  • Supports and enforces infection-control policies and procedures.
  • Maintains a professional approach with confidentiality.
  • Communicates effectively with the medical staff, nursing staff, and interdepartmental staff.
  • Provides illness and vacation backup for MAs.
  • Ability to direct others and negotiate for desired results.
  • Ability to work well as part of the team.

  • Ultimately responsible for the efficient flow of the patient with their caregiver/family member through the clinic so that the individual physical and psychosocial needs of the patient are met.
  • Assesses patient needs, plans and delivers expert care to selected patients on a regular basis.
  • Responds to emergency situations and takes action based on hospital protocols.
  • Demonstrates and ability to organize and incorporate new routines, procedures, and skills.
  • Develops annual objectives for specialty service.
  • Monitors room turnover and set up.
  • Adjusts staffing levels relative to patient flow and collaborates with Clinical Coordinator, Medical Director, Program Direction, Office Coordinators to make daily assignments based on patient requirements.
  • Provides for smooth day-to-day operation within the specialty service.
  • Stock and prepares the MIST machines and offloading room daily to assist the flow of both areas.
  • Serves as a technical resource person.
  • Directs and/or performs troubleshooting of equipment and/or procedural problems including equipment repair.
  • Maintains adequate and appropriate inventories of supplies.
  • Evaluates new procedures/products.
  • Manages and utilizes time efficiently.
  • Uses verbal and written communication skills. Demonstrates knowledge of proper documentation procedures. Demonstrates ability to interact with others.
  • Works at establishing good rapport and good working relationship with all departments' internal and external customers.
  • Demonstrates knowledge of proper documentation.
  • Reports any unusual occurrences, situation, or hazards to appropriate personnel
  • Assists with attendance of mandatory in-service that include: fire, safety, infection control, and disaster plan and monthly staff meetings, and huddles.
  • Participates in active quality improvement program.
  • Notifies clinical coordinator of any nursing and MA personnel issues and assists in creating a plan in order to resolve within department and hospital policy guidelines.
  • Provides information in development of annual budget. Uses resources judiciously. Collaborates with Clinical Coordinator in regards to ensuring appropriate resources are available.
  • Maintains open communication among physicians, nurses and MAs.
  • Monitors and adjusts par levels for chargeable and non–chargeable specialty items in collaboration with the Clinical Coordinator and MAs.
  • Support cost containments efforts of the hospital through following policy and procedures of transportation of contaminated equipment.
  • Maintains processing, storing, restocking, and inventory specialty instruments, supplies and equipment in collaboration with the Clinical Coordinator and MAs.
  • Demonstrates commitment to professional growth and keeps updated on current practices.
  • Assumes responsibility for maintaining current knowledge and competency in area of specialization.
  • Maintains membership in national organizations and encourages participation of specialty team members.
  • Attends clinical seminars to enhance knowledge base and awareness of national trends.
