Position Summary The Medicaid Eligibility Coordinator is primarily responsible for managing and maintaining Medicaid eligibility and redetermination processes for residents. This role ensures accurate and timely submission of Medicaid applications and renewals, coordinates closely with residents and families, and stays current with Medicaid program requirements. The position also provides support for the Business Office and assists with the resident move-in process, ensuring a seamless transition into the Community.

Requirements

  • Associate’s degree in business, healthcare administration, social work, or related field preferred.
  • Minimum 2 years of experience managing Medicaid applications and eligibility (long-term care or healthcare experience preferred).
  • Strong knowledge of Medicaid application and redetermination processes; familiarity with state Medicaid systems or portals.
  • Excellent organizational and time management skills with strong attention to detail.
  • Clear, professional communication skills when working with residents, families, and external agencies.
  • Ability to maintain confidentiality and manage sensitive resident information appropriately.
  • Proficient in Microsoft Office (Word, Excel, Outlook); experience with facility management software or Medicaid portals a plus.
  • Team-oriented, flexible, and able to assist in cross-functional office duties when needed.

Responsibilities

  • Complete and submit Medicaid applications, renewals, and redeterminations for residents in accordance with state and federal guidelines.
  • Track and manage Medicaid cases to ensure continued coverage and prevent lapses in eligibility.
  • Collect, review, and organize required documentation (e.g., financial statements, ID, insurance, income/assets).
  • Serve as primary contact for Medicaid caseworkers, residents, families regarding eligibility and application status
  • Maintain detailed and confidential records for all Medicaid cases
  • Monitor and respond to notices or communications from Medicaid agencies promptly
  • Educate families and responsible parties about Medicaid processes, required timelines, and documentation needs
  • Assist with gathering and verifying financial and payer source information (Medicaid or other) during the admission process
  • Ensure necessary documentation is collected and entered accurately into internal systems
  • Ensure compliance with HIPAA and all Medicaid-related regulatory requirements.
  • Assist with monthly reporting and audits related to resident financials and Medicaid tracking.
  • Help complete resident agreements and other admission forms
  • Support residents in all aspects of the move-in process
  • Maintain accurate resident records, paper, and electronic filing systems, and support daily office operations
  • Assist with community marketing plans and competitive analysis
  • Support admissions and business office staff to complete financial consent forms and payer verification
  • Assist with community Accounts Payable and Accounts Receivable
  • Answer phones, greet visitors, and assist with general inquiries related to the community, community admissions, or Medicaid
  • Maintain accurate resident records, paper and electronic filing systems, and support daily office operations
  • Provide community tours to prospective residents and other guests
  • Maintain the CRM system to track prospective residents’ move-in processes
  • Other duties as assigned.
