About The Position

The Mechanical Administrative Assistant I will provide support to the Mechanical Department with coordinating shop personnel and field personnel locations with HR, payroll, and security access purposes. The individual shall aid with clearing timecard discrepancies or inconsistencies, shipboard, yard or site access issues. In addition, the individual will assist the Mechanical Material Coordinator in writing material requisition orders. Maintain records of all requisitions submitted. The Mechanical Administrative Assistant will assist the Mechanical Manager with technical, administrative, and clerical support.

Requirements

  • Must be able to speak and understand Basic English.
  • Must be proficient using computers and experience necessary especially Microsoft Word, Excel and Outlook.
  • Maritime knowledge (such as common business practices).

  • Ability to read and interpret technical drawings and blueprints.
  • Understand standard operating procedures.
  • Ability to apply basic problem-solving with limited supervision.
  • Professional communication skills with coworkers, subcontractors & vendors.
  • Proficiency in email communication.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.

Responsibilities

  • Prepare timecards packs for all jobs for Mechanical department.
  • Assist Mechanical Material Coordinator by submitting purchase requisitions including Mechanical materials, hardware, paint & finishes, outsourcing & subcontractor, deliveries, and pick-up orders on as needed basis.
  • Maintain records of all purchase requisitions made per job, work order & drawing as applicable.
  • Provide administrative and technical support to Mechanical Department Manager.
  • Provide feedback of employees to all supervisors in relation to their locations and current jobs.
  • Answer telephone calls and provide information to callers, take messages, or transfer calls to appropriate individuals.
  • Maintain printer properly stocked and maintained.
  • Access the Naval Maintenance Database (NMD) via the Maintenance of Merit System (MFOM) to obtain updates on key-integral, reports, approvals, condition found reports (CFR’s), Inspection Deficiency Reports (IDR’s) and other reports, to update foreman, supervisors and the Mechanical department head of status changes.
  • Adhere to and promote all company safety policies and promote a clean and safe work environment.
