About The Position

Colorado Mesa University (CMU) is seeking a .75 FTE Mailroom Supervisor to join our dynamic university environment, where they will be an essential part of our operations. The Purchasing Department provides comprehensive procurement to order fulfillment oversight for the Colorado Mesa University campus. Purchasing works closely with the Accounts Payable team for vendor payments. Included in this work unit’s responsibilities are the administrative functions of procurement, travel, shipping and receiving, campus fleet management, and campus mail distribution. The Mailroom Supervisor is responsible for all incoming and outgoing campus mail, USPS package distribution, reconciliation, and provides support to fleet management. Some positions may require licensure or certification. The Mail Room Supervisor is responsible for all incoming and outgoing USPS campus mail and packages as well as providing logistical distribution across multiple CMU campuses. The Mail Room Supervisor has working knowledge of campus mail distribution routes, mail classification and sorting, reconciliation, and on campus mail delivery and outgoing mail pick up for daily metering services. The Supervisor will take campus standard marketing mailings to processing facilities. The Mailroom Supervisor is responsible for high level of customer service. This position is a point of contact for all carriers and campus users seeking mail services. It deploys mail services throughout varies routes while maintaining customer service at the mail room location. Logistical abilities needed in mail classification for cost efficiencies, in recipient identification for delivery efficiencies, and in offloading to assess the best method of retrieving packages includingpallet pulls, forkliftextensions. Mail Room Supervisor provides equipment maintenance and repair oversight for vehicles and equipment used in receiving/delivering mail on campus. This includes two mini trucks,a forklift, 15-passenger vans and various small equipment including pallet jacks, dollies and other mail moving equipment. This position provides supportto fleet management by assisting fleet users with pick up, drop off, clean outs and gas ups. This position is responsible for supervising work study students to augment staffing needs and increase field efficiency in daily distribution. The Mail Room Supervisor is requiredto be proficient in the department’s eProcurement system and ERP software, soon to be Workday. The Supervisor will have a working knowledge of Excel with the ability to compile data and run spreadsheets in support of the mail functions including reconciliation. The Supervisor will be proficient in the Microsoft Office Suite, with Outlook and Teams being used as a primary form of communication.

Requirements

  • One (1) year of shipping & receiving experience inclusive of:
  • Must have 6 months’ direct carrier package receipt experience [Receiving from common carriers i.e. FedEx, UPS, DHL, USPS]
  • Must have 6 months’ delivery experience.
  • Must have evidence of computer data entry.
  • Evidence of excellent customer service.
  • Must have a high school diploma or equivalent.
  • Must be able to pass pre-employment physical and drug screen.
  • Possession and maintenance of valid Colorado driver’s license (Position requires ability to drive motorized vehicle and/or mini trucks for delivery on main and auxiliary campuses)
  • Essential Services Designation (Required to be on duty to perform essential and/or emergency services of the University without delay or interruption.)
  • Pass a Background Check.
  • Possession of forklift certification or ability to receive forklift certification within 30 days of hire.

Nice To Haves

  • Evidence of increasingly complex strategic mail receiving and delivery
  • Technical skillset including data entry &/or reporting from enterprise ERP system.
  • Prior history of higher education campus delivery.
  • Active forklift operation certification and demonstrated work history with forklift use.

Responsibilities

  • Receipt and delivery of all mail and packages from carriers (35% of Job): Maintains the complete chain of custody for all mail, utilizing campus tools and technology from the initial receipt to final delivery. This involves sorting, researching discrepancies, and distributing incoming mail and packages to all campus departments, spanning main and auxiliary campuses, including CMU Tech and Montrose. Acts as the primary point of contact for external carriers like the USPS and others, communicating the university's evolving delivery needs across the expanding campus footprint.
  • Outgoing mail and package pick up, classification, drop off, and reconciliation (40% of Job): Involves strategic logistics and route management, ensuring the efficient pickup of outgoing mail and packages. Key responsibilities include classifying mail by category, coordinating timely drop-offs, and providing essential logistical support for complex orders and financial reconciliation.
  • Data Entry (15% of Job): Manage the University's shipping accounts with vendors such as FedEx and the United States Post Office (USPS). Provide financial reconciliation and process vendor payments for invoices under discretionary levels, all while ensuring compliance with Purchasing department protocols.
  • Functional Mailroom Set up (5% of Job): Maintain organized mailroomspace to effectively preserve workspace and allow sorting of items with easy identification. Assist with surplus relocation.
  • Fleet Rental Van Support (3% of Job): Provide maintenance supportto the University’s academic rentalfleet of 15-Passenger vans.
  • Other duties as assigned (2% of Job): Includes but not limited to working with Facilities on projects as needed.
