The Master Data & Order Specialist is responsible for ensuring the integrity, accuracy, and governance of all product and customer data, while managing the full lifecycle of customer orders in a fast-paced cosmetic contract manufacturing environment. This role acts as a critical link between Sales, Operations, Supply Chain, Quality, and Finance to ensure data accuracy, smooth order processing, and on-time customer deliveries. This role will be reporting to the Director of Inventory & Order Management.

  • Create, maintain, and validate product, customer, and material master data within ERP/MRP systems.
  • Ensure data consistency and compliance with regulatory and quality standards (e.g., INCI listings, allergen data, product specifications).
  • Partner with R&D, Regulatory, and Quality teams to capture and update new product information accurately.
  • Develop and enforce data governance processes to minimize errors, duplication, and inefficiencies.
  • Regularly audit and cleanse master data to support business reporting and operational efficiency.
  • Manage the end-to-end customer order process from receipt to delivery, including order entry, confirmation, scheduling, and invoicing.
  • Liaise with Sales, Planning, and Production teams to confirm lead times, resolve order issues, and ensure fulfillment accuracy.
  • Monitor order status proactively and provide regular updates to customers.
  • Ensure compliance with customer-specific requirements, labeling, and packaging instructions.
  • Support demand planning by providing accurate order and customer data insights.
  • Identify process inefficiencies and lead initiatives to improve data accuracy and order fulfillment performance.
  • Develop SOPs and training for order entry and master data management.
  • Track KPIs related to order accuracy, data integrity, and customer satisfaction.
  • Experience with ERP/MRP systems for data management.
  • Strong understanding of data governance and compliance standards in the cosmetic industry.
  • Excellent communication and collaboration skills to work with cross-functional teams.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Detail-oriented with strong analytical skills to ensure data accuracy.
  • Experience in the beauty or cosmetic industry.
  • Familiarity with regulatory requirements related to product data.
  • Knowledge of demand planning processes and tools.
