About The Position

The Massachusetts Medical Society (MMS) is the statewide professional association for physicians and medical students, supporting 25,000 members. They are dedicated to educating and advocating for the physicians of Massachusetts and patients locally and nationally. Under the auspices of NEJM Group, the MMS extends its mission globally by advancing medical knowledge from research to patient care. The MMS has adopted a flexible work model that allows most employees to choose where they work – at home, onsite in their Waltham office, or a combination of the two. They are seeking a highly organized, detail-oriented, and proactive individual to join their team as a Marketing Operations, Campaign Coordinator. This role is ideal for a recent graduate or early-career professional interested in marketing operations, campaign execution, and process optimization. This individual will play a key role in facilitating campaign-related workflows and meetings, ensuring that marketing teams are aligned, prepared, and moving efficiently from intake to execution. The role emphasizes coordination, communication, and continuous improvement over ownership of campaign strategy. A successful candidate will bring a proactive mindset, actively identifying opportunities to improve how campaigns are supported (for example, in how audience segmentation and targeting inputs are incorporated into campaign workflows). A collaborative, organized, and solutions-oriented approach is essential for success in this role.

Requirements

  • Bachelor’s degree required
  • 0–1 year of relevant experience (internships or coursework in marketing, business, or related field encouraged)
  • Strong organizational and time management skills with high attention to detail
  • Excellent written and verbal communication skills
  • Confidence facilitating meetings and guiding group discussions (or willingness to develop this skill)
  • Proactive mindset with the ability to take initiative and identify process improvements
  • Ability to manage multiple priorities and collaborate effectively across cross-functional teams
  • Comfort with technology and data

  • Experience with tools like Airtable, Jira, or similar platforms

Responsibilities

  • Coordinate and support the annual campaign planning process across marketing teams
  • Assist in organizing campaign intake, documentation, and prioritization workflows
  • Ensure campaign details are accurately captured and maintained within planning tools
  • Support campaign readiness by ensuring alignment and completeness of key inputs
  • Lead and facilitate campaign planning, refinement, and feedback meetings to ensure clear outcomes
  • Prepare agendas, capture notes, and drive follow-ups to keep stakeholders aligned and accountable
  • Partner with stakeholders to gather inputs, clarify requirements, and ensure alignment
  • Serve as a point of contact for campaign coordination and ongoing communication
  • Support the management and upkeep of the Campaign Planning Model (e.g., Airtable or similar tools)
  • Ensure data accuracy, consistency, and completeness across campaign records
  • Assist in tracking campaign changes, updates, and dependencies
  • Maintain visibility across campaigns through structured and up-to-date data
  • Bring a proactive, solutions-oriented mindset to identify opportunities to improve workflows and team efficiency
  • Help document and standardize processes for campaign intake, coordination, and tracking
  • Contribute ideas to enhance how campaigns are supported and executed
  • Identify opportunities to better incorporate key inputs (e.g., audience segmentation, targeting) into campaign workflows
  • Assist in coordinating quarterly campaign refinement and feedback sessions
  • Help gather insights and feedback from stakeholders to inform future campaign improvements
  • Support tracking of learnings and recommendations across campaign cycles
  • Participate in Marketing Operations team meetings, including standups and planning sessions
  • Provide support for additional marketing operations projects as needed
