About The Position

The Marketing Administrator will support the marketing department with various administrative tasks to ensure smooth operations of the department. This role requires a high level of efficiency, attention to detail, and project management skills. You will play a key part in enabling smooth collaboration between internal teams and external stakeholders by managing processes, tracking deliverables, and handling administrative workflows.

Requirements

  • Prior experience working within a high performing marketing organization and sales teams in a medical device company (B2B)
  • Experience with professional engagement of high-level external stakeholders (HCP, KOL)
  • Proficiency in Microsoft Office and marketing software (e.g., CRM, Medcompli, COUPA)
  • Excellent organizational and project management skills, attention to detail and the ability to manage and prioritize multiple tasks and responsibilities simultaneously under tight timelines and in a fast-paced environment
  • Proficiency in document control and asset management systems, such as Microsoft SharePoint and Oracle Agile PLM
  • Strong written and verbal communication skills
  • Creative thinking and problem-solving skills
  • Must be detail-oriented and flexible and bring positive attitude
  • Ability to work independently and as part of a team
  • Pro-active attitude

Nice To Haves

  • Experience with graphic design software (e.g., Adobe Creative Suite) is a plus, but not mandatory

Responsibilities

  • Provide administrative support in the planning, coordination, and execution of marketing activities and campaigns
  • Coordinate the execution of medical education programs and KOL engagements, ensuring accurate tracking, documentation and internal alignment
  • Manage data entry and updates in internal systems (MedCompli), and tracking tools.
  • Support the organization and coordination of external engagements, including vendor communications, venue arrangements, and follow-up tracking
  • Process invoices and maintain accurate budget tracking records for marketing projects
  • Collect and organize data related to marketing campaign performance; support the preparation of routine status reports
  • Maintain accurate records of marketing materials in the document control system, ensuring compliance with internal review processes
  • Collaborate cross-functionally to resolve operational bottlenecks, anticipate team needs and improve efficiency (pro-active attitude)
  • Perform general administrative tasks or special projects as needed to support the marketing organization
