The Marketing Administrative Assistant will work within the Marketing department and will report to the Marketing Director. They will closely with the marketing team to develop new business for the company. The Marketing Administrative Assistant will support the planning, execution, and tracking of marketing programs and projects. To support Hoffman’s dedication to our people this position will be fully in-office.

  • Support daily office and project associated administrative tasks.
  • Maintain CRM database and asset integrity by organizing, filing, and tracking large amounts of data including digital assets.
  • Track new business opportunities through procurement sites, establish proposal files, manage proposal close outs, and maintain marketing files.
  • Maintain the Marketing Calendar.
  • Assist with writing and editing marketing materials, including proposal planning documents, resumes, project updates, etc.
  • Write and submit surveys and awards.
  • Support marketing events, including RSVP management and on-site support.
  • Support company swag ordering and tracking.
  • Assist other internal departments with marketing support and materials.
  • Prepare expense reports, process third party vendor invoices and interface with accounting to ensure timely vendor payment.
  • Order marketing supplies and facilitate mailing and shipping of marketing materials.
  • Provide backup to the Front Desk Receptionist as needed.
  • Arrange logistics for employee travel as needed.
  • Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, Power Point and Teams), and have a general understanding of working within a computer network.
  • Understanding of social media landscape preferred.
  • Ability to work well and maintain a cooperative attitude through high-pressure situations.
  • Excellent time-management skills and ability to multi-task and prioritize work while frequently interrupted by phone calls and questions on work in progress.
  • Excellent written and oral communication skills with an ability to develop strong interpersonal relationships.
  • Ability to work well in a large professional setting. Patience and professionalism are essential.
  • Must be a strong team player with the ability to collaborate with various personnel within and across departments and at all levels of leadership.
  • High School Diploma or GED required.
  • Associate’s or Bachelor’s Degree preferred.
  • Marketing experience is highly preferred.
