About The Position

Provide order/parts entry support to the organization of orders received by telephone, fax, or central workflow systems. Obtaining, analyzing, and verifying the accuracy of order data and inputting of order information in a timely manner. Initiating and/or implementing corrective action on orders as needed to ensure that an excellent standard of service and a high level of customer satisfaction is maintained.

Requirements

  • 1-2 years of parts/order entry experience and High School Diploma or equivalent required.
  • Must be able to multi-task, be organized, efficient, and accurate.
  • Must be able to work independently and make decisions with little department directions.
  • Must have excellent communication (written and oral), interpersonal, conflict management, and time management skills.
  • Experienced user of Microsoft Office 365 suite.
  • Listening skills and data collection with attention to detail are essential.
  • Ability to calculate discounts, factions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra, and geometry.

Nice To Haves

  • Bilingual highly preferred.
  • Manufacturing background highly preferred.
  • Related glass and aluminum industry experience highly preferred.

Responsibilities

  • Provides order/parts entry for the branch operations.
  • Receives, processes, and verifies the accuracy of orders from customers utilizing the company’s internal central workflow systems and customer purchase orders.
  • Initiates required action for response to customer service requests for new orders and order change requests and communicates changes to the appropriate departments.
  • Assists in proofreading entered orders and ensures that the correct codes are being applied prior to final confirmation.
  • Regularly maintains Kwik Tag program to ensure all kwik tagged documents are scanned and assigned to the appropriate order.
  • Modify quote status once order has been placed in ERP system to ensure visibility and uniformity in Sales CRM.
  • Collaborates with the customer service team to make sure that the requested order(s) meet the customer’s expectations.
  • Works with the organization’s other branch/regional locations to resolve problems, facilitates solutions and enhance the customer service offerings.
  • Attends regular customer service department meetings.
  • Support and participate in the organization’s continuous improvement program and product training courses.
  • Works in conjunction with project managers/coordinators and customer service representatives.
  • Perform other related duties and provide back-up support to other group members as assigned by management.
