OVERVIEW: The VOC Manager leads a team of five to six VOCs. The VOC Team represents EHVP to veteran organizations, healthcare professionals, media outlets, potential donors, and corporate partners. The VOC manager is responsible for planning, budgeting, and overseeing all outreach efforts, local and national. The VOC Manager will collaborate with EHVP and Emory's Marketing, Communications, and Development teams to raise awareness of EHVP in various communities and increase registration for the program. Other specific duties include: managing VOC Team timesheets, administering outreach budget, approving VOC travel and reimbursements, maintaining, and updating VOC standard operating procedures (SOPs), and delivering formal and informal program briefs to key partners. Team Management (30%) Oversee daily operations, outreach, administrative, and patient-facing tasks of VOC team. This includes: Reviewing and approving individual VOC work plans Holding team meetings and communicating effectively with team members and leadership Collaboratively setting goals with team members and reviewing progress Overseeing duty calendars, outreach events, travel, and time off to ensure proper staffing for onsite requirements and offsite events Outreach Management (30%) Develop outreach strategic plan, travel plan, and build positive relationships with national Veteran influencers, service organizations, healthcare providers, and referral sources. This includes: Implementing EHVP's national outreach strategy for building connections to other warrior-serving organizations by raising awareness of our programs and providing tools and information to encourage veterans to apply Developing and assigning VOC regions and areas of focus; overseeing outreach plans specific to assigned targets; developing new targets to increase awareness of EHVP Maintaining spreadsheet of Veteran-related events, contacts, and outreach opportunities Developing and administering annual budgets for travel, events, and promotional material Building relationships with diverse communities throughout the country Evaluating outreach effectiveness by tracking registrations, referrals, conversion rates, and other data to constantly improve process Training and VOC Development (10%) Plan and oversee individual and collective training for outreach team. This includes: Complete training on de-escalation and resolution, crisis response and intervention, and coordinate with community-based crisis response teams and resources Plan and oversee training for VOC roles on outreach, event planning, travel planning, relationship management, coalition building, crisis response, and related skills Event Coordination and Facilitation (10%) Oversee outreach events to ensure they run seamlessly, and the public engages with EHVP in a proactive way. This includes: Keeping a master spreadsheet of Veteran-related events, prioritizing high value events, and collaborating with Marketing and Communications to effectively promote EHVP Coordinating with entire VOC team to delegate responsibilities and manage events Overseeing communications for participants, volunteers, vendors, etc. as needed per event Overseeing, tracking, and managing data and feedback regarding events and program offerings to determine effectiveness of engaging prospective applicants Communicating internally about events and possible media opportunities Representing EHVP at community events and partner events as needed Administrative Duties (20%) Managing VOC Team timesheets, approving and submitting VOC travel reimbursements, and maintaining and updating VOC standard operating procedures Responding to inquiries about EHVP via email and phone Tracking partnership records and managing data through Salesforce Researching national organizations that align with EHVP's mission and can act as meaningful partners and/or applicant pipelines
