Position Summary Oversees the scheduling and preregistration duties including patient demographic validation, insurance benefit verification, prior authorizations, referrals, and follow-up care Provides support to physicians, advanced practice providers and operational leadership by developing and coordinating provider assignments to ensure optimal coverage. Work schedule: Monday - Friday, 8:00 am - 4:30 pm Located: 1305 Kuhl Avenue

Requirements

  • Bachelor’s degree (or equivalent years of applicable related experience) required.
  • In addition to educational requirements, requires a minimum of three (3) years of health care experience, to include experience with physician and/or patient scheduling.

Responsibilities

  • Oversees the scheduling and preregistration duties including patient demographic validation, insurance benefit verification, prior authorizations, referrals, and follow-up care.
  • Develop and distribute daily and weekly practice and hospital schedules to support team.
  • Works with Providers and staff to ensure schedules are maximized for efficiencies and physician productivity on a daily basis
  • Oversees staff in registering and discharging patients, including insurance verification, medical record retrieval, payment collection, and scheduling follow-up visits.
  • Audits to ensure patient chart demographics are accurate.
  • Work directly with the leadership team in managing immediate coverage needs due to emergencies, etc.
  • Acts as the primary resource for staff for all questions related to patient scheduling.
  • Serves as the first point of escalation for patient scheduling issues, including those involving appointments with more than one provider, procedures and/or imaging.
  • Provides statistical data and various reports to physicians and administration for review and practice planning.
  • Motivates staff and organizes regular team huddles and departmental staff meetings to keep team members informed of current events and changes, ensure compliance with standard practices and implement new practices as needed.
  • Develops and maintains a positive work environment and handles staff concerns or questions promptly and professionally.
  • Ensures team members acquire the appropriate support and training to apply the best skills and knowledge on the job both with initial new employee training and with ad hoc training team members as needed.
  • Plans organize and coordinate work efficiently; meet assigned deadlines.
  • Manages various human resources functions including hiring, work assignments, coaching plans, and performance counseling.
  • Evaluates and approves schedule changes and requests for time off, approves time sheets and documents employee absenteeism.
  • Analytical, problem-solving and critical thinking skills required
  • Executes judgement, critical thinking, problem solving and knowledge relative to provider clinical schedules by evaluating impact of hospital and office efficiencies, operations and productivity
