About The Position

The RFP Manager is responsible for leading and managing the full lifecycle of Request for Proposal (RFP) responses and related client-facing deliverables. This role partners closely with Sales and cross-functional teams to create compliant proposals.

Requirements

  • Bachelor’s degree in business, Marketing, Communications, or a related field required
  • Interpersonal & Communication: Excellent communication (written and verbal) and interpersonal skills required
  • Cross functional Collaboration: Coordinate inputs from Subject Matter Experts (SMEs), sales, legal, product, and finance teams to ensure accurate, cohesive, and comprehensive responses and working independently required
  • Project Management & Organization: A well-organized individual, able to adapt and adjust to different daily tasks, detail oriented, and ability to prioritize multiple projects required.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and proposal management tools.
  • Strategic Thinking: Ability to interpret RFP requirements and tailor responses to highlight unique value propositions.
  • The ability to adapt quickly to changes in business climate.
  • Excellent problem-solving skills, research/investigate to find resolution.

Nice To Haves

  • Technical Proficiency: Familiarity with CRM systems (e.g., Salesforce, HubSpot) and RFP automation/proposal management software (e.g., Qvidian, RocketDocs, Loopio, RFP360) Preferred.

Responsibilities

  • Track, monitor, and manage multiple bid projects simultaneously.
  • Coordinates with proposal team members to complete final production, packaging, and delivery of proposal documentation.
  • Manage the end‑to‑end RFP, RFI, and questionnaire response process, including kickoff, timeline management, content gathering, and final submission.
  • Assign tasks, coordinate cross‑functional contributors, and ensure all deadlines are met.
  • Serve as the primary point of contact for proposal-related inquiries internally and externally.
  • Write, edit, and refine proposal content to ensure accuracy, clarity, and alignment with client requirements.
  • Ensure all responses are consistent, compelling, and brand‑aligned.
  • Maintain and continuously improve the Loopio library for RFP up-to-date responses, standard answers, and company information.
  • Partner with SMEs across Sales, Product, Compliance, Operations, Legal and other areas of the business to gather and validate information.
  • Identify opportunities to streamline RFP processes and adopt new tools or automation.
  • Train internal teams on RFP processes, best practices, and tools as needed.
