About The Position

The Manager, Referral Optimization (ROM), supports the mission, goals, and strategic plan of LifeCenter Northwest (LifeCenter). The ROM has direct accountability for the successful growth and development of the Resource Triage Coordinator (RTC) team and initiatives to improve referral management and conversion. This position is responsible for leading the team to maximize organ conversion and referral optimization metrics through design and implementation of referral management strategies through resource allocation, and standardized processes for assessing suitability and maximizing referral conversion potential. The ROM plays a critical role in supporting LifeCenter’s mission through leading a clinical expert team focused on evaluating potential organ donor referrals, maximizing referral management for conversion opportunities, mentorship and training.

Requirements

  • RN or equivalent work experience; ACLS preferred.
  • CPTC required.
  • Minimum of 5 years’ experience as ORC with 2 years relevant management experience or equivalent.
  • Requires a valid driver’s license and access to an insured automobile for work-related functions at expected times.
  • Proof of COVID-19 vaccination or applicable medical or religious exemption will be required as a condition of employment upon offer.

  • An ability to accurately present the donation process in formal and informal educational opportunities.
  • Ability to engage in successful communication with health care professionals and donor families.
  • Must have a clear understanding and practice of universal precautions.

Responsibilities

  • Leads initiatives to mentor and develop clinical staff through oversight of higher-level clinical staff and training.
  • Functions as an expert and resource to Resource Triage Coordinators (RTC) in evaluation, medical management, staffing and logistics.
  • Aligns RTCs in partnership with the Manager, Organ Procurement (OPM) and Organ Optimization team (AOCs, Training, and ORC IV) on priority initiatives with a focus on daily operations and project prioritization.
  • Participates in, and leads, employee committees and events.
  • Provides and leads staff in effective coaching to engage, support, and motivate staff to realize their greatest potential in service of LifeCenter’s mission.
  • Performs data surveillance to identify gaps, improvement opportunities, and monitors process improvement initiatives
  • Leads, facilitates, organizes, and monitors the implementation of initiatives that will improve organ optimization operations.
  • Directs clinical activities focusing on opportunities to maximize donation outcomes and organs transplanted.
  • Assists in the development and day-to-day management of departmental budget.
  • Develops and ensures the consistent application of departmental policies and procedures.
  • Manages performance review process and personal development plans.
  • Successfully manages groups (e.g., committees, workgroups, and staff teams).
  • Ensures that all referral evaluations, and referral management, are completed in accordance with LifeCenter and Organ Procurement and Transplant Network (OPTN).
  • Maintains the highest standards of professional conduct and interpersonal relationship development, promoting a positive and collaborative work environment.
  • Complies with Association of Organ Procurement Organizations (AOPO), Centers for Medicare & Medicaid Services (CMS), and OPTN guidelines
  • Guides development, coordination, and training for Organ Donation Services (ODS) staff. This includes, but is not limited to, assisting with onboarding, didactic and clinical training, revising training materials, and coordinating training activities for new new ODS employees and continuing education activities.
  • Oversees training needs of team through collaboration with other ODS teams.
  • Assists in implementation of continuing education programs and competencies for assigned roles within ODS.
  • Provides reasonable availability to assist with call schedule.
  • Is accountable for all the associated on-call duties of a RTC.
  • Provides scheduled 24 hr on call support as Procurement Lead for clinical escalations
  • Maintains current knowledge of the donation and transplantation industry.
  • Leads or oversees reviews of referrals and donor cases with a focus on trends, missed opportunities and continuous improvement
  • Remains on the forefront of clinical innovation and implementation of evidence-based protocols.
  • Partners with Senior Director, Medical Leadership, Conversion and Utilization leadership, Learning and Development , and Quality & Regulatory Affairs to increase donation and transplantation outcomes and compliance with quality processes.
  • Develops and maintains effective relationships with clinical and transplant stakeholders.
  • Collaborates with donor hospital staff and other organ recovery teams to facilitate successful transplant outcomes.
  • Facilitates ODS staff training and development needs through collaborative communication with ORC managers and leading clinical training initiatives. Responsible for effective communication and coordination with medical professionals, hospitals, and donation organizations.
  • Serves as clinical resource for Hospital Development which includes facilitating presentations.
  • Participates in timely resolution of non-conformance investigations and development of appropriate corrective and preventative actions.
  • Participates in compliance, quality assurance, and performance improvement programs and initiatives.
  • This position directly supervises assigned staff and oversees the operations of their team(s) to ensure departmental functions and operations are achieved successfully. This position is a member of the leadership team of LifeCenter Northwest and has influence interdepartmentally as well as cross functionally.
  • This position requires regular, time-sensitive travel to and from case activity across the region. As such, the ability to independently and reliably commute between locations is essential to fulfilling the responsibilities of the role. Due to the nature of the work, which may involve urgent or unscheduled travel, personal driving capability is a critical operational need. Complies with applicable laws, regulations, and LifeCenter policies and procedures.
