About The Position

The Cultural Assets’ Manager, Projects & Operations oversees scheduling, communications, and project management for the Cultural Assets and the Juliette Gordon Low Birthplace Museum team while providing high-level administrative and operational support to the Executive Director. This role ensures the efficient coordination of projects, stakeholder communication, and day-to-day departmental functions to advance team priorities.

Requirements

Must be adept at juggling a wide variety of tasks with competing deadlines and limited resources. Must be highly organized, responsive, reliable, and proactive.
Superior ability to multi-task in a calm professional manner with operational flexibility given sudden unpredictable business needs; willingness to work outside established standard business hours if necessary. Keen ability to proactively anticipate changes and adjust accordingly. Strong problem-solving, time-management, prioritization, and decision-making skills.
Ability to work effectively with all levels of staff including internal and external stakeholders. Great teamwork, communication, and interpersonal skills. Ability to utilize those skills to ensure and maintain a collaborative work environment in situations that are sometimes high stress.
Demonstrated excellent customer service capability and mindset; business savvy and professionalism required to handle diverse client base discreetly with tact and diplomacy in difficult, confidential, or sensitive situations.
Highly proficient knowledge and use of Microsoft Office applications (including Word, Excel, PowerPoint, and SharePoint).
Ability to act and communicate with discretion and hold confidential information and communications.
Office 365 or similar suites
Competency in PowerPoint or similar presentation software
Competency in Microsoft Excel or similar software
Competency in project management fundamentals (scope, budget, schedule, reporting, risk management, etc.)
Bachelor’s degree (BA, BS, BBA, etc.) from four-year college or university or equivalent.
5+ years of project management experience.

Responsibilities

Provides comprehensive support to the Executive Director and Associate Director, proactively resolving issues and managing administrative details to ensure efficient operations. Responsibilities include calendar and travel coordination, drafting correspondence, expense management, contract submissions, preparation of reports and presentations, and follow-up on action items.
Maintains Circle of Friends’ (COF) records and communication lists and supports Executive Director in tracking donor gifts and communication. Oversees the COF newsletter, including contributing content, coordinating submissions, and distributing.
Manages projects within the department and is responsible for communication and coordination of targets and deadlines. In collaboration with internal stakeholders, develops project scope, timelines, budgets, and deliverables. Adjusts schedules, staffing, and project steps as required. Tracks tasks requiring action and follows up as needed to keep the Executive Director appraised of project and work status within the department.
Maintains an organized and efficient office environment, including file management, supply inventory, and general administrative systems.
Prepares, formats, and edits professional reports, memos, and presentations. Strong written communication skills are essential.
Coordinates meetings and communication with the Juliette Gordon Low Birthplace MuseumAdvisory Committee (BAC) and the Girl Scout Society (GSHS), including newsletters, meeting agendas, and meeting minutes.
Project Coordination.
Administrative Tasks, including document creation and formatting.
Member, donor, and board support.
