About The Position

The Manager of the IT Project Management Office (PMO) is responsible for the day-to-day coordination, oversight, and support of project management and business analysis functions across the organization. This role directly supervises the IT Project Manager Supervisor and IT Business Analyst Supervisor, ensuring that project practices are consistent, efficient, and aligned with statewide standards such as those issued by the Kansas Information Technology Office (KITO). This position plays a key role in improving internal project execution, reinforcing standard operating procedures (SOPs), and helping lay the groundwork for a future Enterprise Project Management Office (ePMO). While this role does not own the strategic vision for the ePMO, it is integral in preparing the team for that transition.

Requirements

  • Ten (10) years' direct experience relative to the field of work, with at least three (3) years of direct experience, IT project coordination or project management.
  • Two (2) or more years of experience of team supervision.
  • Experience working within or alongside a PMO or project governance structure.
  • Familiarity with project lifecycle documentation and stakeholder communication.

Nice To Haves

  • PMP, CAPM, or similar project management certification.
  • Knowledge of KITO processes or public-sector project management practices.
  • Experience managing or supporting technical project teams.
  • Strong organizational, communication, and team collaboration skills.

Responsibilities

  • Provide daily oversight and coaching to the IT Project Manager Supervisor and IT Business Analyst Supervisor, ensuring staff are supported and work is prioritized appropriately.
  • Help ensure the project and analysis teams follow established guidelines, meet deadlines, and consistently deliver quality outputs.
  • Monitor workload and resource needs and escalate staffing or process concerns to leadership as needed.
  • Track and monitor active projects for adherence to timelines, documentation requirements, and status reporting.
  • Support the facilitation of a project intake process by collecting project requests, organizing supporting materials, and preparing summaries for review by leadership.
  • Assist with the development, documentation, and rollout of project-related standard operating procedures (SOPs).
  • Promote consistent use of project templates, tools, and tracking mechanisms across all active projects.
  • Reinforce compliance with KITO reporting and project management guidelines.
  • Coordinate across departments to ensure that project dependencies and business needs are identified and incorporated into planning processes.
  • Collaborate with the IT Contracts team and vendors as needed to support project execution, without direct oversight responsibilities.
  • Identify trends in project delays or compliance gaps and provide feedback to supervisors and staff for correction or improvement.
  • Assist with internal communications, guidance, or light training related to project process changes or new documentation expectations.
  • Contribute to a culture of accountability and learning by sharing lessons learned and encouraging consistency across teams.
