About The Position

The Manager of Event Experience - Philanthropy's purpose is to plan, develop, support, and implement impactful, philanthropic event strategies and programs to drive support for organizational priorities. Reporting to the Director of Marketing and Communications, Internal Communications and Events and Senior Director of Engagement, this individual will work independently to manage the portfolio of philanthropic events such as major gift announcements, naming ceremonies, local and regional salon events, fundraisers and other donor-facing institutional and alumni events. The Manager will be an essential member of the Philanthropy and University Events teams and will also collaborate with and provide direction and guidance to an Event Consultant - Philanthropy to successfully plan and execute events.

  • Minimum education: Bachelor's degree
  • Minimum experience: 5 - 8 years of integrated communications or event planning experience, plus 2 years of project team and/or volunteer management.

Responsibilities

  • Leads the overall strategy and standards for philanthropic event engagement, supporting philanthropic, stewardship, and alumni engagement initiatives in alignment with the comprehensive campaign and in collaboration with marketing and institutional advancement leaders.
  • Oversees all aspects of events, including but not limited to evaluating and recommending opportunities, vendor contract negotiation, site reviews, research and selection of venues, planning logistics, staffing coordination and budget.
  • Collaborates with executive leadership, faculty, major gift officers, corporate and annual giving and stewardship teams, committee chairs, communication consultants, and creative services to align events to institutional and university strategies and priorities, fundraising goals, and MCW and Froedtert & the Medical College of Wisconsin brand strategies.
  • Collaborate with the Development Team to develop best practices and benefit packages for corporate sponsorships and deliver these benefits for existing and prospective event sponsors.
  • Prepare and manage event budgets inclusive of philanthropic projections, ensuring events are meeting financial goals and expenses are within budget parameters. Work with the OIA Business Manager on reporting for finance.
  • Lead event strategy, as part of an integrated team,with a focus on experience and operational planning that includes communications, marketing, and event promotions. Develop success metrics and measures to track and optimize the donor experience and donor engagement in partnership with the Office of Institutional Advancement and initiative leadership.
  • Create and promote protocols for professional standards and procedures and production of events in keeping with the image and reputation of MCW.
  • Oversee development and production of event collateral such as promotional materials and communications supporting sponsorships, attendance, programs, scripting, video storytelling and letters of thanks.
  • Manages events team including direct reports, and event day staff.
  • Develops and monitors event timelines and project plans, in collaboration with the Engagement Project Manager, and ensures plans are executed.
  • Identifies and manages portfolio of recommended vendors and suppliers ensuring procurement from minority and women owned businesses.
  • Establishes and maintains relationships with venue and contractor partners as well as with MCW departments.
  • Responsible for logistics including venue reservations and/or contracts, meeting room set-ups, food and beverage function and audiovisual requirements.
  • Travel to regional philanthropic locations, regional campuses or other event sites required and as needed.
