About The Position

The Manager of Donor Data is the strategic steward of the development department's CRM and connected systems, ensuring the integrity, reliability, and optimization of donor data infrastructure. This role manages system configuration, integrations, automation, and data hygiene practices to maintain accurate and actionable donor records. By strengthening system performance and data quality, the Manager of Donor Data enables efficient operations, informed decision-making, and a seamless experience across fundraising and engagement efforts.

Requirements

  • Bachelor’s degree or equivalent professional experience with at least 4 years of progressive experience in operational support, development operations, or a related field
  • Demonstrated experience working with CRM systems, with a preference for EveryAction, including data entry, maintenance, and supporting effective system use
  • Proficiency in Microsoft Office and Google Workspace, with the ability to use these tools to support operational efficiency, reporting, and cross-team collaboration
  • Familiarity with databases and data management practices, with a strong attention to accuracy, consistency, and data integrity
  • Proven ability to manage multiple projects and priorities concurrently, with strong organizational skills and attention to detail in a fast-paced environment
  • Strong written communication skills, with the ability to produce clear, concise, and professional materials for a variety of audiences
  • Ability to work both independently and collaboratively, supporting cross-functional teams and contributing to shared goals and outcomes
  • Experience in nonprofit fundraising environments preferred, with an understanding of how operations support donor engagement and development strategy
  • Experience working with diverse communities and within multicultural environments, with a demonstrated sensitivity to and appreciation of cultural differences

Responsibilities

  • Serve as the primary development liaison to the data team; provide leadership and strong collaboration for the effective use and governance of the development departments use of the CRM
  • Lead CRM training and user-adoption initiatives for Development staff to ensure consistent, effective system use that produce successful outcomes
  • Maintain a comprehensive and accessible library of Development business rules to promote transparency, as well as ensure consistent understanding and application across the department
  • Configure and maintain CRM (objects, fields, automation, security, backups) in conjunction with the data team
  • Build and manage integrations (payment gateways, website, events, matching‑gift vendors) and scheduled ETL jobs
  • Explore and potentially integrate new APIs for the CRM
  • Execute data-quality processes: deduplication, address standardization, merges, normalization
  • Build and test automations/workflows; create and maintain technical documentation to ensure excellent outputs of department functions
  • Partner with the Individual Giving team to implement moves management systems in the database
  • Provide support to CRM users and coordinate with external vendors/contractors, focusing on accessibility that supports partnerships with diverse stakeholders
  • In coordination with the Assistant Director for Development Operations, manage and execute the contribution records within the database ensuring accuracy, timely processing and reporting of gifts.
  • Lead on uploading contribution batches into the CRM
  • Coordinate with the Data Team to ensure all APIs are functional.
  • Maintain operational support across teams and departments
  • Establish workflows for data sharing, transparency, and collaboration
  • Create best practices and host trainings
  • Build resource documentation for processes and systems usageBe responsible for routine database hygiene and updates that promote excellent data management, including but not limited to:
  • Managing process for reconciling the donor database and finance records with regard to refunds, transfers, and chargebacks with accuracy
  • Uploading attachments to donor gift records
  • Updating changes to addresses, biographical details, and gift information.
  • Collaborates with members of the development department on special projects
