Summary The Non-Conforming Materials (NCM) Manager leads all aspects of non-conforming materials management, including documentation, cost recovery, supplier corrective action, and cross-functional coordination to minimize production impact and maximize recoveries. The role requires strong process ownership, analytical skills, and the ability to partner across production, quality, purchasing, and supply chain to improve material conformance and protect profitability.

Requirements

  • Knowledge of manufacturing, quality processes, and material flow in a production environment.

  • Excellent written and verbal communication skills with internal teams and external suppliers.
  • Proficiency in Microsoft Office (especially Excel) and familiarity with ERP systems (Infor M3 preferred).
  • Strong analytical and problem-solving skills; attention to detail in documentation and claims.
  • Ability to work collaboratively across functions and influence without direct authority.
  • Demonstrated ability to train others on processes and systems.
  • Demonstrated knowledge of manufacturing procedures, quality processes, and material flow in a production environment
  • Strong organizational skills with the ability to manage multiple priorities, track detailed information, and meet deadlines
  • Excellent written and verbal communication skills; ability to communicate clearly and professionally with internal teams and external suppliers
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); strong Excel skills for tracking, reporting, and data analysis
  • Familiarity with ERP systems (Infor M3 preferred) for transaction processing, material tracking, and reporting
  • Strong attention to detail and accuracy in documentation and record-keeping
  • Understanding the claims processes, supplier corrective action, and cost recovery principles

Nice To Haves

  • Bachelor’s or Associate’s degree in Business, Supply Chain, Operations, or related field (or equivalent experience).
  • Prior experience in NCM, materials management, quality, or purchasing.
  • Experience with claims processes and supplier corrective action.
  • Exposure to data visualization and continuous improvement (e.g., Power BI, Lean, Six Sigma).

Responsibilities

  • Respond to NCM issues identified in production and document associated labor and parts costs.
  • Investigate non-conforming parts, materials, or workmanship and determine disposition (rework, scrap, return to supplier).
  • Develop and maintain standard operating procedures for all NCM-related activities.
  • Maintain the NCM tracking system and ensure timely, accurate status updates and resolution.
  • Ensure proper segregation and identification of non-conforming material.
  • Notify suppliers of NCM issues, obtain authorization, and initiate claims.
  • Compile required documentation and file claims accurately and on time.
  • Track open claims and ensure timely recovery of supplier-responsible costs.
  • Analyze trends, identify repeat defects, and escalate issues with quality, purchasing, and supply chain.
  • Coordinate shipment and return of non-conforming materials with appropriate documentation.
  • Coordinate repairs and corrective actions with production, quality, engineering, and other stakeholders to minimize downtime.
  • Partner with inventory control, purchasing, receiving, and shipping to support material flow and issue resolution.
  • Serve as the primary point of contact for managers and line leaders on NCM processes and requirements.
  • Train leaders and line staff on NCM processes and required documentation.
  • Support initiatives to reduce NCM incidence and improve cost recovery.
  • Identify root causes of recurring issues and partner with quality, engineering, and supply chain to implement corrective and preventive actions.
  • Prepare and distribute regular reports on NCM volume, costs, recoveries, and trends.
  • Define and track key performance indicators (e.g., open issue aging, recovery rates, repeat defect frequency, cost impact).
  • Use data to identify systemic issues and recommend improvements.
  • Coordinate loading and return of non-conforming parts and ensure proper disposition.
  • Support inventory control in identifying and segregating non-conforming materials and assisting with corrective actions.
  • Work with receiving to ensure returned NCM material is properly logged and tracked in M3 or other ERP systems.
