About The Position

The Manager of Fiduciary and Foundation Services is responsible for leading, scaling, and enhancing HomeBase’s fiduciary support and foundation services platform. This role provides strategic, operational, and process leadership across trust administration and outsourced private foundation services, ensuring delivery of accurate, compliant, and high-touch fiduciary support. This position is designed for a proactive, entrepreneurial leader who thrives in building structure, refining workflows, and expanding service capabilities. The Manager serves as a key integrator across attorneys, beneficiaries, accountants, financial advisors, and foundation stakeholders while driving operational excellence and innovation within HomeBase’s fiduciary service lines.

Requirements

  • Bachelor’s degree required; advanced degree or legal training strongly preferred.
  • Legal background highly desirable (paralegal, JD, former practicing attorney, or equivalent fiduciary/legal experience).
  • 7+ years of experience in trust administration, fiduciary services, estate administration, or foundation operations.
  • Strong understanding of: Trust and fiduciary principles Fiduciary accounting concepts Complex asset structures Private foundation operations & governance
  • Demonstrated leadership, team management, and process-building experience.
  • Highly proactive, solutions-oriented, and operationally minded.
  • Strong judgment, organizational ability, and communication skills.

Responsibilities

  • Lead, mentor, and develop a team of Trust Administrators and Foundation Services professionals.
  • Establish clear performance expectations, accountability standards, and service benchmarks.
  • Design and refine team workflows to improve efficiency, scalability, and service quality.
  • Identify opportunities to expand the team’s impact, capabilities, and value proposition.
  • Foster a culture of ownership, problem-solving, and continuous process improvement.
  • Provide strategic oversight of fiduciary support services delivered to attorneys serving as trustees and to individual trustees.
  • Oversee administration of complex trust structures, often involving significant asset values and sophisticated investment holdings.
  • Guide and supervise key fiduciary support functions, including: Fiduciary income tax coordination and return processing Review of brokerage and custody statements for compliance and accuracy Monitoring of distributions and approval workflows Preparation and calculation of beneficiary distributions Coordination of annual trustee and advisor reviews Maintenance of fiduciary records and documentation
  • Partner closely with attorneys, accountants, and financial advisors to ensure consistent, compliant administration aligned with governing documents.
  • Continuously evaluate and enhance fiduciary workflows, controls, and service models.
  • Assist in defining and expanding HomeBase’s trustee-support offering for non-professional trustees.
  • Lead operational oversight of outsourced administrative services provided to private foundations and related charitable structures.
  • Supervise and refine foundation service workflows, including: Grant processing & tracking Financial and tax reporting coordination Compliance monitoring
  • Serve as a senior liaison to foundation executives, board members, accountants, and legal counsel.
  • Identify process improvements and scalable service models for foundation engagements.
  • Support development and growth of HomeBase’s foundation services business line.
  • Drive continuous refinement of fiduciary and foundation administration processes.
  • Identify operational gaps, inefficiencies, and opportunities for service expansion.
  • Design scalable workflows, controls, and documentation standards.
  • Collaborate with leadership to shape, package, and articulate HomeBase’s fiduciary support capabilities.
  • Contribute to development of new services supporting trustees, beneficiaries, and family entities.
